Project Overview: The Kilns 3&4 Project is Urenco ChemPlant's Tails Management Facility expansion project here in the UK. Urenco have chosen Bechtel as the Contractor to help deliver the expansion project. Bechtel is currently sourcing for a Document Management Specialist. Offers will be extended contingent upon the final selection.
Job Summary: In this role, you will provide document management support by using ECMS (Enterprise Content Management Systems), distributing, maintaining, and retrieving project records in accordance with company guidelines. You will assist with customer service, questions, issues, updates, quality checks, and project closeout activities. Your attention to detail and data accuracy will help ensure successful compliance with document and records management procedures. This position is designated as part-time telework per our global telework policy and may require at least three days of in-person attendance per week at the assigned office or project. Weekly in-person schedules will be determined by the individual and their supervisor, in consultation with functional or project leadership.
Major Responsibilities:
- This role will receive supervision from the Project Information Manager.
- Provide a service to effectively support activities related to both document and information management and assist in ensuring quality and security aspects of information management are maintained.
- Collaborative working with and amongst different stakeholder teams.
- Delivery of document management process appropriate for each category and classification of document/drawing to ensure effective control and management of documents.
- Routine document management activities such as publishing, generating reports, generating, and issuing transmittals, library management, etc.
- Guidance to project teams on best practice document management, and appropriate use of information systems.
- Manage and continuously improve the approach to monitoring and maintaining accuracy, alignment, and quality of meta data, suggesting improvements to processes where appropriate.
- Provide oversight and assurance on subcontractor information processes to ensure compliance with requirements.
- Production of dashboards and reports.
- Take necessary care to properly protect the confidentiality, integrity, and availability of project information from unauthorised disclosure, modification, or destruction.
- Provide guidance and/or coaching to project and or subcontractor team as necessary.
- Coordinate project close-out activities inclusive of all functional groups represented on project.
Education and Experience Requirements: Requires bachelor's degree (or international equivalent) and 2-5 years of relevant experience or 6-9 years of relevant work experience.
Required Knowledge and Skills:
- Demonstrable experience in performing in an information or document management role as well as the ability to demonstrate advanced proficiency using Microsoft Access, Excel, Visio, and Word.
- Must have relevant project-based experience performing document/records management with focus on maintaining data and information integrity and dashboard reporting.
- Previous experience in working on technically complex projects where regulatory compliance is key.
- Previous experience with data analysis and metadata management.
- Must have significant experience in using Oracle Aconex.
- Must be able to work well in a complex team environment and follow through on initiatives.
- Must be able to share knowledge and contribute to the project and team goals.
- Must possess and be able to demonstrate a high degree of individual initiative, discretion, and diplomacy.
- Must be flexible and able to accept and quickly adapt to changes in work focus.
- Willingness and ability to travel to a different site for meetings.
