Reporting to the Acquisition Director and supporting the full Acquisition team, you will play a critical role in the smooth end‑to‑end workflow of ad content production. In this role you support creators, manage logistics, maintain trackers, ensure compliance, and prepare assets for leadership approval so our paid social teams can launch campaigns on Meta and TikTok.

Responsibilities
  • Support the Content Manager with creator contracting, usage‑rights tracking, and PO creation.
  • Coordinate product send‑outs to creators, ensuring logistics are managed and tracked.
  • Maintain and update internal trackers covering creator status, deliverables, and deadlines.
  • Ensure all creator permissions, usage windows, and T&Cs are recorded and compliant.
  • Receive final delivered assets and ensure they meet agreed specifications.
  • Support with file exports, asset formatting, and accurate metadata completion.
  • Apply correct file‑naming conventions, asset tagging, and organized folder management across all platforms (Google Drive, Dropbox, DAM).
  • Manage multiple versions of assets and ensure the correct files are shared with Paid Social.
  • Prepare and update the weekly ad approval deck, ensuring new assets are included, correctly named, and accompanied by supporting information.
  • Coordinate with Copy, Brand, Legal, and Paid Social to ensure assets meet all requirements before submission.
  • Track approvals and feedback, notifying relevant stakeholders and updating statuses.
  • Support the Content Manager and Paid Social with general workflow management.
  • Coordinate timelines, flag delays, and ensure stakeholders are aware of status updates.
  • Maintain accurate documentation, logs, trackers, and shared workflow systems.
  • Provide administrative support including scheduling, contact management, and documentation organisation.
Qualifications
  • Prior experience in operations, production coordination, or creative project management.
  • Highly organized, structured, and comfortable managing multiple workstreams simultaneously.
  • Strong communication and collaboration skills, with ability to work across Content, Paid Social, Comms, and Brand.
  • Experience handling contracts, POs, or logistics workflows is an advantage.
  • Comfortable with project management tools (e.g., Asana, Notion, Google Sheets).
  • Meticulous attention to detail — particularly around naming, file organization, and accuracy.
  • Knowledge of social content formats and advertising asset requirements preferred (but no creative responsibilities).
  • A proactive problem‑solver who enjoys process, structure, and keeping fast‑moving teams organized.
