The predicted salary is between 30000 - 40000 € per year.

Reporting directly to the Operations Manager, you are tasked with scheduling the engineers, PPM Reactive/Call Out and Remedials. This will require engineers with appropriate skills, ordering parts as specified/quoted on the order, creating RAMS per job, advising clients, booking in visits, and booking required equipment. This is a key position within our team where you will have the opportunity to develop your career working alongside senior management. Your job will be varied, ranging from ordering parts to preparing and submitting RAMS to clients ahead of our engineers completing their work. Daily, you will be dealing with our customers, engineers, and suppliers in a fast-paced changing environment. You will need to be flexible, creative, and a team player as you’ll have every opportunity to grow in this role and we will encourage you to take on more responsibility over time.

Main Duties and Key Activities:

  • Write daily job sheets attaching RAMS, photos, previous works reports etc. Ensuring paper trail is accurately interpreted and detailed to site engineers.
  • Management of Production Weekly Planner/schedule.
  • Logistical planning of works for the engineers:
    • Assigning work to Engineers, planning site remedial works and PPMs.
    • Checking the job specification - matching engineer ability and manpower to the task.
  • Client job/works order related liaison:
    • Sending booking requests to client.
    • Submitting RAMS and permit request.
    • Submitting engineer competencies, VRN and QPS insurance details.
  • Ensuring that parts are ordered for all jobs as required.
  • Check ETA for parts with upcoming jobs.
  • Liaise with the Workshop Store Coordinator to ensure all parts are available for a job.
  • Assist Operations Manager by providing all the job documentation and communication of jobs and content to all engineers, ensuring full understanding of requirement.
  • Assisting with arranging a call out (in hours) – assigning engineer, providing information to engineers and keeping customer updated on ETA.
  • Ensuring all daily jobs run smoothly, being point of contact regarding site permits/access and generic job information/clarification.
  • Communication with Workshop team regarding status of works and estimated completion dates to schedule reinstallations.
  • Liaising with Technical Manager and Operations Manager when more technical or problematic aspects of jobs arise – parts, access hire etc.
  • Arranging and coordinating any site-specific requirements i.e. inductions, portals, tankers, and Hi-Ab.
  • Assisting with arranging the delivery and collection of hire equipment when required.
  • Point of contact in absence of more senior management.

Job Role Pre-requisites:

  • Strong Organisational Skills.
  • Ability to plan your own work, work on your own initiative and meet deadlines.
  • Ability to manage pressure and prioritise tasks and workload.
  • Experience of preparing and submitting RAMS, Site Permits and H&S.
  • Demonstrable experience in a similar operation, administrative role within an engineering business.
  • Experience of Planned Preventative Maintenance (PPMs).
