About the Role
We are looking for a highly organised and proactive Personal Assistant to join our small, close-knit team on a fixed-term maternity cover basis, supporting both the day-to-day running of the business and the personal needs of our Founders across personal tasks, business operations, finance, HR and cross-departmental projects.
Contract & Start Date
This is a 12 month fixed-term contract covering maternity leave, starting 29 June 2026. For the right candidate, we'd be open to discussing longer-term opportunities for full-time work as the business grows.
Personal Tasks
- Travel Arrangements: helping organise international travel (flights, hotels, transfers) as and when required.
- Household Management: ensuring compliance across household bills, handle communication on behalf of founders.
- Personal Appointments: helping organise personal appointments as and when they arise.
- Email Correspondence and Management: daily management of all email relevant accounts.
- Personal Shopping & Returns: purchasing items on behalf of the Founders, managing returns and exchanges as required.
- Ad Hoc Personal Tasks: providing flexible support across a variety of personal tasks as they arise - no two days look the same in this role!
Business Tasks
- Business Calendar: management of personal calendar, team calendar and calendars of the Founders.
- Email Correspondence and Management: daily management of all email relevant accounts.
- Travel Arrangements: helping organise international travel (flights, hotels, transfers) as and when required.
- Finance Management: responsible for paying invoices and dealing with expenses. Being the point of contact with external accountants, reviewing the bookkeeping weekly for the business.
- HR Management: tracking the teams annual leave and updating relevant calendars, ensuring the payroll run is accurate.
- Cross Departmental Projects: be the first point of call between the team and the Founders, joining weekly team meetings, note taking and sharing action points, help with correspondence with the international team.
- Ad Hoc Research: gathering information for the Founders on request, whether that's competitor research, venues, suppliers, or general fact-finding.
- Recruitment: helping with all aspects of hiring from online job posting to shortlisting and helping with the onboarding process.
What We're Looking For
- A natural organiser who thrives on keeping people, calendars and moving parts running smoothly.
- Discreet and trustworthy - comfortable handling sensitive personal and business information on behalf of the Founders.
- A confident communicator who can represent the Founders professionally across email and correspondence.
- Ability to work at pace, juggle competing priorities and stay one step ahead without needing to be asked.
- Strong financial literacy - comfortable with invoices, bookkeeping reviews and liaising with external accountants.
- A self-starter who works well independently in a remote environment and communicates proactively.
- Minimum 3 years' experience in a PA, EA or operations role, ideally within a fast-paced, founder-led or entrepreneurial environment.
- Comfortable with async communication across a small, close-knit international team.
