As IT and Data Officer, you will play a key role in supporting the digital and data functions of Beaumond House Hospice Care. This includes helping to administer core IT systems, supporting data reporting requirements, and assisting with information governance and cyber security compliance. Working alongside clinical and administrative teams, you will help to ensure that digital tools are used effectively, data is accurate and reliable, and systems support safe and efficient care. You will act as an internal coordinator for IT matters, working closely with our external Managed Service Provider (MSP) and other specialist partners for technical support, infrastructure, cyber security submissions and system maintenance. This role is hands-on and operational, requiring strong organisational skills, attention to detail and the ability to work with stakeholders across the organisation. The postholder will help ensure that digital and data processes are robust, compliant and aligned to internal standards, NHS requirements and good information governance practice.

Ensuring our communities receive the care and comfort they need, free of charge, when every moment matters. Our Care is provided in people's homes across our communities and at the Hospice in Newark. We treat every person with respect. We deliver compassionate, professional care that supports physical, psychological, and spiritual needs. We look for staff and volunteers who protect dignity, safety, and confidentiality. Beaumond House Hospice Care is a registered charity. We provide four In-patient beds, Day Therapy, and Hospice at Home Care. Hospice at Home supports people with palliative and end of life care needs, often in the last weeks and months of life. Our nurses and health care assistants provide assessment, personal care, emotional support, advice, and advance care planning in the persons preferred place of care. We are contactable 24 hours a day, 7 days per week, to provide a friendly ear, general information or to signpost patients, relatives and carers to appropriate resources and services. We also offer 30 days holiday pro rata, (increasing with service up to 32 days) plus Bank Holidays as part of our benefits.

Job responsibilities

Systems Support and Coordination

  • Support the resolution of IT issues that cannot be resolved by the external helpdesk, including escalation, interpretation and coordination with the MSP where required.
  • Liaise with the MSP to ensure timely resolution of technical issues, service requests and system changes.
  • Coordinate IT asset management including devices, licensing, accounts and access permissions.
  • Assist with onboarding/offboarding in relation to accounts, access, equipment and digital platforms.
  • Manage and administer the organisations SharePoint environment, including site structure, permissions, content organisation and day-to-day upkeep.
  • Support the ongoing development and caretaking of SharePoint and intranet areas to ensure they remain organised, accessible and aligned to operational needs.
  • Support the administration of Microsoft 365, Teams, Outlook and intranet tools.

Data Management, Dashboards and Reporting

  • Support the collection, maintenance and validation of operational and clinical data across the organisation.
  • Assist in the development and maintenance of dashboards that present key performance data in a clear and accessible format.
  • Work with teams to identify evolving data requirements and adjust data collection processes accordingly.
  • Produce scheduled and ad-hoc reports for internal and external stakeholders.
  • Maintain performance data for key service metrics and regulatory requirements.
  • Assist with the development of data processes that support accurate, timely reporting and continuous improvement.

Digital Support and Administration

  • Support teams with the effective use of digital tools and data systems through training, guidance and documentation.
  • Assist with digital improvement activities that streamline workflows and enhance data usage.
  • Work collaboratively with clinical and operational teams to understand practical IT and data needs and route requests appropriately.
  • Help maintain digital record-keeping, templates and documentation to support governance and compliance.

Information Governance and Cyber Security Support

  • Support the organisation in meeting Information Governance, GDPR and Data Protection requirements.
  • Assist in the identification of cyber security improvement needs and support the development of practical remediation plans.
  • Work with the MSP and external partners to assess cyber risks, determine feasibility of improvements and support implementation of agreed actions.
  • Support the completion and maintenance of NHS Toolkit and Cyber Essential requirements and manage associated evidence.
  • Coordinate cyber awareness and information governance training for staff and monitor compliance.
  • Help maintain core cyber security controls including MFA, access control, device security and password policies in collaboration with the MSP.
  • Monitor changes in cyber and IG requirements and assist with adapting internal processes to ensure ongoing compliance.
  • Administer and maintain access control, permissions and data handling documentation.
  • Promote good IG and cyber hygiene practices with staff.

External Partner Coordination

  • Work closely with the MSP and other external contractors to ensure key IT services, infrastructure, backups and security are managed effectively.
  • Coordinate supplier relationships, ensuring services are tracked, reviewed and aligned to operational needs.
  • Maintain documentation relating to contracts, renewals, licences and digital service standards.

General Duties

  • Work collaboratively and cooperatively with your Beaumond House colleagues.
  • Respect confidentiality applying to all areas of Beaumond House.
  • Complete mandatory staff training according to the training plan.
  • Abide by the Health and Safety at Work Act.
  • Work within Beaumond House policies and procedures.

Person Specification

  • Knowledge of Microsoft 365 applications (Teams, SharePoint, Outlook, Excel).
  • Understanding of information governance, data protection and cyber security principles.
  • Ability to produce reports and dashboards using various tools.
  • Strong organisational skills and attention to detail.
  • Able to manage multiple tasks, prioritise workload and meet deadlines.
  • Good communication and interpersonal skills.
  • Ability to work with both clinical and non-clinical teams.
  • Professional integrity and commitment to confidentiality.
  • Access to a vehicle and willingness to travel across the area of operation as required.
  • Knowledge of cyber security frameworks (e.g., Cyber Essentials).
  • Knowledge of data analytics tools (e.g., Power BI).

Experience

  • Experience in IT support, digital systems administration or data reporting.
  • Experience working within a healthcare, hospice or charity environment.
  • Familiarity with NHS digital platforms or regulated data environments.
  • Experience supporting DSPT or information governance activities.
  • Experience coordinating MSP or external IT suppliers.

Qualifications

  • Relevant IT, data or project management certifications (e.g., CompTIA, Microsoft, PRINCE2, ITIL).
