The Project Coordination function plays a central role in ensuring that day-to-day departmental activities run smoothly, supporting project delivery through effective administration, supplier coordination, procurement support and cross-functional communication.

Job Summary

Working across Engineering, Procurement, Production and Finance, you will be responsible for coordinating the day-to-day activities of the department to ensure projects and operational tasks progress efficiently. The role will involve managing purchase order processes, monitoring project expenditure, supporting budget tracking activities, coordinating the manufacture and delivery of assets, and ensuring effective communication between Engineering, Procurement and Finance. You will play a key role in maintaining financial accuracy across projects, supporting invoice processing and cost tracking, and helping project teams maintain visibility of budget performance. You will be a key point of contact for internal stakeholders and external suppliers, helping to maintain schedules, track actions, control costs, and ensure information flows effectively throughout the business. Highly organised individuals who enjoy managing multiple priorities, building relationships, driving actions to completion, and working confidently with financial data will thrive in this role. A strong aptitude for numbers and a natural flair for finance are essential.

Requirements

  • Coordinate and monitor day-to-day departmental activities to support successful project execution.
  • Generate, process and track purchase orders in accordance with company procedures.
  • Liaise with suppliers and manufacturers to monitor progress, expedite deliveries, and resolve schedule issues.
  • Track the manufacture and delivery status of project assets and provide regular updates to stakeholders.
  • Support communication and workflow between Engineering, Procurement, Production and Finance teams.
  • Assist with budget tracking, cost forecasting and expenditure monitoring across multiple projects.
  • Process and reconcile supplier invoices, ensuring alignment with purchase orders and approved budgets.
  • Monitor project costs and highlight variances, risks or discrepancies to relevant stakeholders.
  • Maintain financial trackers and support the preparation of project cost and performance reports.Maintain project schedules, action trackers, records and documentation.
  • Organise meetings, prepare agendas, record actions and ensure follow-up activities are completed.
  • Support reporting activities by collecting and presenting project, operational and financial data.
  • Ensure departmental documentation is maintained accurately and stored in accordance with company processes.
  • Identify administrative, financial and process inefficiencies and contribute to continuous improvement initiatives.
  • Provide general office and operational administration support as required.

Required Skills & Competencies

  • Excellent organisational skills with the ability to manage multiple priorities and deadlines.

  • Effective communicator with internal teams and external suppliers.
  • Strong planning and coordination skills.
  • Strong financial acumen with the ability to work confidently with budgets, costs, invoices and financial data.
  • A natural flair for finance, with strong numerical and analytical skills and the ability to identify trends, discrepancies and cost-saving opportunities.
  • Proficient in Microsoft Office applications, particularly Excel, Word and Outlook.
  • Ability to maintain project documentation, records and financial trackers.
  • Ability to analyse data and produce clear, accurate reports.

Experience & Qualifications

  • Previous experience in a Project Coordinator, Project Administrator, Operations Coordinator, Procurement Administrator, or similar role.
  • Experience in manufacturing, engineering, aerospace, defence or technical environments is desirable.
  • Qualification in Business Administration, Project Management, Operations Management or related discipline would be advantageous.
  • Familiarity with ERP, MRP or procurement systems is desirable.
  • Intermediate to Advanced Excel skills including reporting, data analysis and financial tracking would be advantageous.
