We are seeking a friendly, enthusiastic and flexible team member to join our caring and supportive reception team. You will provide an integral link between our patients and our clinicians. This role will also include other administrative duties such as monitoring SystmConnect queries and time spent as a prescription clerk generating repeat prescriptions and responding to patient queries. The Practice is open from 08:00 to 18:30 Monday to Friday (we close for lunch 13:00-14:00). We have a variety of hours (full time or part time, Monday to Friday) available depending on successful candidate preference.
Main duties of the job
You will be a critical part of the front of house team, responsible for assisting patients and health care professionals. This position encompasses traditional reception duties as well as those of a prescription clerk. You will be a central contact point for all patient enquiries, both face to face and by telephone, to ensure they are directed to the most appropriate person or place for their care. There are many other administrative aspects of the role that goes on behind the scenes that is also a big part of running the GP Practice which will offer a wide variety of tasks each day.

Job responsibilities
- Reception: Undertake all roles within reception including answering the telephone, making and cancelling appointments, assisting patients face to face with any queries on the front desk, completing tasks. To act as a care navigator, ensuring the patient is signposted to the most appropriate service or clinician.
- Process SystmConnects in accordance to Practice procedure.
- Ensure the reception and waiting area are kept neat and tidy.
- To be familiar with the appointment system, ensuring sufficient information is recorded on the medical records when booking appointments.
- Monitor effectiveness of the appointment system and report problems or variations as and when necessary.
- Receive and make calls as required. Divert calls and take messages as and when appropriate.
- Ensure the consulting rooms are checked at the end of each day and left tidy and secure.
- Make up patient files and ensure records are kept tidy and in good repair with all necessary information recorded correctly on the outer cover.
- Inputting data into the patients healthcare records as necessary.
- Taking part in regular team meetings and training.
- Prescriptions: Process all repeat prescription requests including those received online and via email.
- To liaise with patients and pharmacies regarding queries and requests.
- To ensure that patients queries on medication are highlighted to the relevant GP.
- To regularly go through prescriptions not collected and unlikely to be collected as a result of timescale, to remove the details from the patient records and then destroy the prescription.
- Ensure up to date patient information is recorded.
