The ProjectCoordination function plays a central role in ensuring thatday-to-day departmental activities run smoothly, supportingproject delivery through effective administration, suppliercoordination, procurement support and cross-functional communication.

Job Summary

Working acrossEngineering, Procurement, Production and Finance, you will beresponsible for coordinating the day-to-day activities of thedepartment to ensure projects and operational tasks progress efficiently.

The role will involvemanaging purchase order processes, monitoring projectexpenditure, supporting budget tracking activities, coordinatingthe manufacture and delivery of assets, and ensuring effectivecommunication between Engineering, Procurement and Finance. Youwill play a key role in maintaining financial accuracy acrossprojects, supporting invoice processing and cost tracking, andhelping project teams maintain visibility of budget performance.

You will be a key pointof contact for internal stakeholders and external suppliers,helping to maintain schedules, track actions, control costs, andensure information flows effectively throughout the business.

Highly organisedindividuals who enjoy managing multiple priorities, buildingrelationships, driving actions to completion, and workingconfidently with financial data will thrive in this role. Astrong aptitude for numbers and a natural flair for finance are essential.

Requirements

  • Coordinate andmonitor day-to-day departmental activities to supportsuccessful project
  • execution.
  • Generate, process andtrack purchase orders in accordance with company procedures.
  • Liaise with suppliersand manufacturers to monitor progress, expedite deliveries,and resolve
  • Track the manufactureand delivery status of project assets and provide regularupdates to
  • stakeholders.
  • Support communicationand workflow between Engineering, Procurement, Production and
  • Finance teams.
  • Assist with budgettracking, cost forecasting and expenditure monitoring across multiple
  • projects.
  • Process and reconcilesupplier invoices, ensuring alignment with purchase orders and
  • approved budgets.
  • Monitor project costsand highlight variances, risks or discrepancies to relevant stakeholders.
  • Maintain financialtrackers and support the preparation of project cost and performance
  • reports.
  • Maintain projectschedules, action trackers, records and documentation.
  • Organise meetings,prepare agendas, record actions and ensure follow-upactivities are
  • completed.
  • Support reportingactivities by collecting and presenting project, operationaland financial
  • data.
  • Ensure departmentaldocumentation is maintained accurately and stored inaccordance with
  • Identifyadministrative, financial and process inefficiencies andcontribute to continuous
  • improvement initiatives.
  • Provide generaloffice and operational administration support as required.
  • Excellentorganisational skills with the ability to manage multiplepriorities and deadlines.
  • Strong attention todetail and accuracy.
  • Effectivecommunicator with internal teams and external suppliers.
  • Strong planning andcoordination skills.
  • Strong financialacumen with the ability to work confidently with budgets,costs, invoices and financial data.
  • A natural flair forfinance, with strong numerical and analytical skills and theability to identify trends, discrepancies and cost-saving opportunities.
  • Proficient inMicrosoft Office applications, particularly Excel, Word and Outlook.
  • Ability to maintainproject documentation, records and financial trackers.
  • Ability to analysedata and produce clear, accurate reports.

Experience & Qualifications

  • Previous experiencein a Project Coordinator, Project Administrator, OperationsCoordinator, Procurement Administrator, or similar role.
  • Experience inmanufacturing, engineering, aerospace, defence or technicalenvironments is desirable.
  • Qualification inBusiness Administration, Project Management, OperationsManagement or related discipline would be advantageous.
  • Familiarity with ERP,MRP or procurement systems is desirable.
  • Intermediate toAdvanced Excel skills including reporting, data analysis andfinancial tracking would be advantageous.
