Beauchamp Estates is seeking an enthusiastic and organised Office Coordinator to join our Sales and Lettings team. This role is designed to provide essential administrative support and sits between various departments including Sales, Lettings, Operations and Marketing, ensuring smooth operations and contributing to the high standards that Beauchamp Estates is known for. We are looking for someone with a can-do attitude, proactive approach and a strong commitment to assisting the sales and lettings teams in achieving their goals.
Key Responsibilities
- Maintain accurate and up-to-date sales and lettings records across all drives and CRM, ensuring compliance and consistency.
- Provide comprehensive administrative support, scheduling photography appointments and assist with new staff onboarding.
- Run and monitor AML checks for all sales and lettings transactions, ensuring all procedures are fully compliant.
- Draft sales contracts, letters and other documents required for sales and lettings transactions and instructions.
- Support the Lettings Manager with onboarding new tenancies and related documentation.
- List properties efficiently, coordinating photography shoot bookings with the Marketing team and chasing all parties for a prompt launch.
- Write property descriptions and manage property launches across all platforms, ensuring listings are accurate and delivered on time.
- Prepare templated marketing property reports for vendors.
- Send out property email alerts for all new listings via Mailchimp using templates.
- Post three property features per week on social media, ensuring consistent brand representation.
- Populate templates and liaise with suppliers to coordinate and send one batch of canvass letters weekly.
- Greet clients, answer phone calls and direct enquiries efficiently to the appropriate team members.
- Act as the first point of contact for reporting IT issues within the Sales and Lettings teams.
- Manage office contractors and ensure operational needs are met promptly.
Skills and Experience
- ~3+ years' experience working in a sales or lettings environment within the estate agency industry is essential.
- ~ A high attention to detail with excellent organisational skills.
- ~ A proactive approach to managing tasks and problem-solving, ensuring smooth team operations.
- ~ A bright and welcoming manner with strong communication skills and the ability to engage with clients and colleagues alike.
- ~ Ability to work autonomously while being part of a collaborative team.
- ~ Flexibility, with the ability to adapt to different responsibilities across the Sales, Lettings, Marketing and Operations departments.
- ~ Proficiency in MS Office Suite (essential), Adobe PDF and Adobe InDesign (not essential).
- ~ Familiarity with Rex (not essential).
