This role offers the opportunity to support a large-scale warehouse automation programme, playing a critical part in enabling effective governance and executive oversight. The role is part time and requires coverage of 3 days per week with some flexibility across 5 days due to the variable nature of some leadership meetings. The role requires on-site work for the 3 days based outside Leicester.
The programme support role will sit within a complex, fast-moving delivery environment and will provide high-quality Project Administration / Executive Assistant support to the senior lead Engineer. The successful candidate will act as a trusted extension of the programme leadership, ensuring meetings, information, and documentation are well-managed, accurate, and actionable.
- Meeting Attendance & Coverage
- Attend meetings where the lead Engineer is unavailable
- Aim to attend in person for key meetings to ensure audio clarity and transcription accuracy
- Maintain a presence on‑site or nearby for responsiveness
- Notes, Documentation & Transcription Management
- Take clear, structured, accurate notes
- Download and clean up Teams transcripts
- Combine their own notes with Teams transcription into a single coherent summary
- Convert raw information into actionable insights, including:
- Decisions
- Risks
- Issues
- Required Lead Engineer review items
- Follow‑up actions
- The Programme Support will compile a weekly Lead Engineer handover pack containing:
- A clear summary of all meetings attended
- Relevant extracts from Teams transcripts (cleaned and structured)
- Identified risks, issues, or decisions requiring attention
- Supporting documentation from the contractor
- Scheduling support if necessary
- Ensuring meeting invites, agenda packs, and materials are organised
- Tracking action closure and ownership
- Maintaining organised records to support audit requirements under MF1
