We are looking for a highly organised, proactive, and relationship-driven individual to support our CEO while owning the smooth running of our London office. This hybrid role blends high-level executive support with hands-on office management – ideal for someone who thrives on variety, responsibility and enabling others to do their best work.
Executive Support to the CEO
- Provide full, proactive diary and inbox management, ensuring optimal scheduling, prioritisation, and protection of the CEO's time.
- Prepare the CEO for internal and external meetings by collating briefing notes, slide decks, reports, prereads and background materials.
- Draft, proofread and manage CEO correspondence, approvals, and follow-ups.
- Screen enquiries and requests on behalf of the CEO, using strong judgement and maintaining absolute confidentiality.
- Coordinate CEO travel, accommodation, itineraries, and all associated logistics.
- Submit and reconcile CEO expenses via internal systems in a timely manner.
- Plan and maintain the CEO's meeting cadence, including recurring management meetings, board preparation, and strategic check-ins.
Leadership Team & Governance Support
- Support the CEO and Partners with meeting governance, including agenda planning, document preparation and minute-taking.
- Track and follow up on outstanding actions across the leadership team to ensure timely completion.
- Ensure governance materials, meeting packs and communications are accurate, well-formatted and delivered on time.
- Act as liaison between Be UK and Be Group Executive Offices to enable smooth, consistent, and timely communication.
Office Management (London Office)
- Primary owner of the London office environment, ensuring it remains professional, welcoming and operationally efficient.
- Oversee front-of-house: greeting visitors, managing the main phone line, coordinating meeting room bookings and ensuring setups run smoothly.
- Manage office suppliers, service providers and building management, attending tenant meetings when required.
- Maintain and replenish office supplies (stationery, refreshments).
- Oversee office facilities including IT equipment, access cards, security passes, courier services, post and maintenance requests.
- Implement and maintain office systems and processes that support day-to-day operational effectiveness.
- Coordinate onsite logistics for events, training sessions, client visits, team days and external guests.
Event & Business Support
- Partner with Social and CSR Committee and Operations to support or coordinate company events, leadership off-sites, client visits, quarterly company meetings, Friday Huddles, CEO Connects and Senior Leadership briefings.
- Provide ad-hoc support to wider Operations (e.g., data collation, formatting documents, maintaining executive records).
Relationship Coordination
- Act as a key point of contact for individuals engaging with the CEO or Executive Office – including senior leadership, clients and external partners.
- Build strong working relationships across Be UK and Be Group to enable smooth collaboration and information flow.
Experience
- Experience in a similar EA, PA, Executive Office or Office Manager role – ideally within professional services, consulting, financial services, or another fast-paced environment.
- Proven experience supporting senior executives, including diary and inbox management.
- Strong working knowledge of MS Office and Office 365 suite.
