We are seeking a highly organised, discreet and proactive Executive Assistant & Events to provide strategic and operational support to our CEO and COO. This is a pivotal position within a fast-growing, international company. The role requires someone who thrives in complexity, operates with precision, and can confidently manage high-level stakeholders across multiple time zones. You will act as a trusted right hand to senior leadership, ensuring seamless coordination of priorities and enabling executives to focus on strategic growth.

Key Responsibilities

  • Executive Diary & Priority Management
    • Own and strategically manage complex calendars for the CEO and COO
    • Prioritise internal and external commitments with sound judgement
    • Coordinate across multiple time zones and international teams
    • Ensure executives are fully briefed and prepared for all engagements
  • International Travel & Logistics
    • Arrange detailed international itineraries (flights, accommodation, ground transport, visas)
    • Prepare comprehensive travel packs and schedules
    • Provide real-time support during travel and resolve issues proactively
    • Ensure cost efficiency without compromising quality
  • Meetings & Executive Operations
    • Coordinate high-level meetings, board sessions, and leadership calls
    • Prepare agendas, briefing documents, and presentation materials
    • Take minutes and track follow-ups when required
    • Maintain strict confidentiality and professionalism
  • Events, Exhibitions & Corporate Seminar
    • Lead the coordination of international fairs and exhibitions
    • Organise the company’s annual seminar and internal corporate events
    • Manage suppliers, bookings, timelines, and logistics end-to-end

Requirements

Essential

  • 3–5 years’ experience supporting C-level executives
  • Proven experience managing complex diaries and international travel
  • Advanced proficiency in Microsoft Office
  • Fluent or native-level English
