This role provides comprehensive administrative and executive support to the Senior Management Team of BDO’s International Sector, assisting directors, senior managers, and partners with day‑to‑day tasks and ensuring seamless operations.

Responsibilities

  • Work closely with the Executive Assistant to provide support to the International Sector, Senior Management Team, including directors and senior managers.
  • Maintain and co‑ordinate diaries for senior management team as required.
  • Inbox management of the senior management team as required.
  • Support the coordination of internal and external meetings and events for the sector.
  • Organise business travel, visas, hotel accommodation, preparation of itineraries, cars and other travel arrangements.
  • Monitor e‑mails/meeting invitations of the Senior Management team and reply on their behalf when appropriate.
  • Process monthly billing for the team on Workday.
  • Use the CMS to maintain accurate client/target information and pipeline management.
  • Perform conflict checks and client take‑on.
  • Document creation and management, including typing as necessary.
  • Taken minutes at meetings when required and follow up on actions.
  • Complete expense reports in a timely manner.
  • Deal with personal administration as and when required.
  • Liaise with high‑level partners.
  • Co‑ordinate secretarial cover within the group and provide support to other PAs, including holiday and sickness cover.
  • Handle high‑level confidential information and maintain confidentiality.
  • Provide an exceptional client experience and support client initiatives within the firm, being responsive and helping create a positive impression at all touch points.
  • Provide secretarial cover within the sector and to the group as a whole, assisting other PAs when necessary.
  • Respond to routine enquiries and take appropriate messages.
  • Conduct industry research when required.
  • Offer general administrative assistance to the sector as required.

Qualifications

  • Intermediate to advanced level of Word, Excel and Power Point.
  • Fast and accurate typing skills.
  • Excellent communication skills.
  • Experience with or ability to learn Outlook, Concur, Workday, CMS and In Tapp.
  • Ability to manage and prioritise tasks.
  • Proactive team member.
  • Understanding of the Group’s and Firm’s environment, structure and culture.
  • Ability to exercise initiative, discretion and organisation.
  • Problem‑identifying and solving skills.
  • Flexibility to adjust quickly when priorities change.
