We are currently recruiting for a Property Inspections Team Coordinator to join the busy property management and inspections team of a highly successful and established independent estate agency.

This is an excellent opportunity for an experienced residential lettings professional looking to develop their career within property administration, inspections and tenancy management.

Following successful completion of the initial probationary period, the role will become hybrid, offering a combination of home and office-based working.

The

Role: As Property Inspections Team Coordinator, you will provide essential administrative and coordination support to the property inspections team, helping to ensure appointments, inventories, compliance requirements and tenancy deposits are managed efficiently.

You will work closely with Property Inspection Consultants, inventory clerks, branches, landlords, tenants and internal teams, playing a key role in keeping the department organised and ensuring appointments and processes run smoothly.

Key Responsibilities

  • Coordinate and book property inspection visits and check-out appointments.
  • Send reminder communications to tenants moving out.
  • Update property management systems with meter readings, appliances and smoke/CO alarm information from inventories.
  • Rearrange property visits and manage changes to appointments.
  • Monitor group emails and handle calls when Property Inspection Consultants are unavailable.
  • Manage Property Inspection Consultants' diaries and agency bookings.
  • Arrange deposit releases and submit relevant documentation to accounts.
  • Assist with deposit negotiations between landlords and tenants.
  • Process relevant paperwork for independent deposit adjudication where required.
  • Manage information across third-party CRM systems relating to inventories and condition reports.
  • Monitor incoming inventories and ensure compliance requirements are met.
  • Liaise with progressors and branches where there are issues affecting compliance or property readiness.
  • Coordinate last-minute inventory appointments between inventory clerks and branches.
  • Download and distribute completed inventories to landlords.
  • Support the Team Leader with day-to-day departmental tasks.
  • Maintain accurate records and ensure all processes are completed efficiently and within required timescales.

About You

We are looking for an organised and proactive property professional with previous experience within residential lettings. You should have:

  • Current or previous experience within residential lettings - essential.
  • Excellent organisational and prioritisation skills.
  • A proactive "can-do" attitude.
  • Excellent written and verbal communication skills.
  • A personable, outgoing and enthusiastic approach.
  • Strong attention to detail and accuracy.
  • The ability to work independently while also contributing effectively as part of a team.
  • Good IT skills and confidence using Microsoft Office.
  • The ability to learn and adapt quickly to new technology and property management systems.
  • A professional and customer-focused approach.
  • Salary & Benefits

£25,000 - £28,000 basic salary, depending on skills and industry experience, plus bonuses.
