BCI’s London office seeks a highly organized, detail‑oriented Administrative Assistant to support the Infrastructure & Renewable Resources (IRR) team for a 15‑month fixed‑term contract covering maternity leave. The role reports to the Supervisor, Business Administration and focuses on travel and expense management, administrative coordination, and general clerical support.

Responsibilities

  • Collaborate with the admin team to coordinate travel for team members, including booking flights, hotels and ground transport.
  • Process and reconcile travel expenses, ensuring accurate claims and compliance with policies.
  • Handle general business expense reimbursements and monthly corporate credit‑card reconciliation.
  • Schedule and support in‑person and virtual meetings, manage catering, technology and facility requirements.
  • Assist in planning and coordinating department events, team building, onboarding and off‑boarding procedures.
  • Maintain confidential records, documentation and support the relocation of the London office location.
  • Perform general clerical duties such as printing, photocopying, formatting, scanning and other ad‑hoc requests.

Qualifications

  • Post‑secondary education with a minimum of 2–3 years administrative support experience.
  • Strong organisational, analytical and problem‑solving skills with high attention to detail.
  • Proficiency in Microsoft Office, SharePoint, Adobe Acrobat and related office software.
  • Ability to multitask, adapt to changing priorities and meet deadlines in a fast‑paced environment.
  • Experience handling complex travel itineraries and expense claims.
  • Excellent verbal and written communication skills and a service‑oriented mindset.
  • Strong team player, reliable, results‑oriented and proactive; willingness to experiment with emerging technology and AI tools.
  • Previous corporate setting experience preferred.

Work Location

Central London office (Charing Cross/Westminster area). Standard office hours 9.30am – 5.30pm with occasional flexible or evening/weekend hours to coordinate with Canada.
