The Sales Coordination Manager plays a critical role at the heart of Expand’s commercial operations, ensuring the sales team runs efficiently and effectively. This is a highly organised, client-facing support role that requires outstanding interpersonal skills, impeccable attention to detail, and the ability to manage a busy, fast-moving schedule across multiple time zones. The successful candidate will serve as a key point of contact for diary management, relationship coordination, and outreach support – working closely with senior leadership and the broader sales team to facilitate new business development and client engagement activities.
Key Responsibilities
- Meeting & Calendar Management: Book and coordinate meetings on behalf of the sales team, including proactive engagement with Executive Assistants and gatekeepers at client and prospect organisations. Plan and manage attendee logistics for roundtable (RT) sessions, ensuring the right mix of senior participants and smooth pre-event communication. Coordinate travel itineraries and meeting schedules for Management Team (MT) trips to key financial hubs including Paris and New York. Maintain an accurate and up-to-date view of the sales pipeline and upcoming engagements.
- CRM & Data Management: Keep our CRM up to date with contact information, meeting notes, activity logs, and pipeline status on a regular basis. Ensure data hygiene across the CRM, identifying gaps or inaccuracies and resolving them proactively. Generate reports and summaries from the CRM to support sales team planning and review meetings.
- Outreach & Business Development Support: Draft tailored outreach emails to cold and warm leads, ensuring all communications include accurate contact names and details. Research areas of professional interest and recent activity for target contacts to personalise outreach and maximise engagement rates. Support the sales team in identifying new leads and compiling targeted prospect lists aligned to Expand’s core client base in financial services.
Job Requirements
- Prior experience in a sales coordination, executive assistant, or business development support role.
- Demonstrable experience managing complex diaries and scheduling across senior stakeholders.
- Familiarity with a CRM platform (Freshsales, Salesforce, HubSpot or similar).
- Excellent written English with experience drafting professional outreach or client communications.
- Highly punctual and organised, with an ability to stay on top of multiple moving priorities simultaneously.
- Exceptional attention to detail – errors in contact names, meeting times or CRM data are taken seriously in this role.
- A warm, confident communicator who can build genuine rapport with Executive Assistants, PAs and senior contacts at client organisations.
- Positive, can-do attitude with a proactive approach to problem solving and a willingness to go the extra mile.
- Collaborative team player who works well across functions and is comfortable supporting senior stakeholders.
- Discretion and professionalism when handling sensitive commercial information.
