About the Role
We are currently looking for an Event Inbox Lead on a 12 Month fixed term basis, for a client dedicated account at a global management consulting firm. In this role, you will oversee two large-scale annual event inboxes serving as the primary expert for ensuring smooth and timely communication with top-tier stakeholders. You will lead and coordinate the inbox team, maintain efficient processes, and ensure that every inquiry receives the appropriate response, fostering a high standard of service and consistency.
As an Event Inbox Lead you will:
- Define, document, and maintain inbox ways of working to ensure consistency across regions and time zones.
- Build robust stakeholder relationships, and foster trust in the inbox as a reliable access point for assistance.
- Design and implement a seamless onboarding process for the inbox team, preparing members for their roles effectively and efficiently.
- Provide ongoing training and support to maintain readiness throughout the meeting lifecycle.
- Identify and manage risks, trends, and escalation needs to support operational excellence.
- Maintain a comprehensive and effectively utilised standard response library to minimise repeated queries.
- Deliver high quality and uniform responses to inquiries that are in line with program guidance.
- Conduct impactful briefings to Executive Assistants to decrease repeat clarification requirements.
You will have:
- Strong communication and presentation skills for effective interaction.
- Flexibility and independent thinking, balancing SOP adherence with creativity.
- Experience in leading cross-functional teams and fostering collaboration.
- Commitment to confidentiality and ethics in all partnerships.
- Ability to work under pressure and adapt to changing deadlines.
- Customer service experience in dynamic environments.
You might also have:
- Resource planning and team coverage scheduling experience.
- Event operations or program management background.
- Knowledge of project management tools like Trello or Monday.com.
- Exposure to global, fast-paced organisational environments.
You should know:
- This is a fixed term contract for 12 months.
- This role can be offered as hybrid with time spent in the Fleet office or UK Remote.
- Our standard working hours are 9.00 - 17.30 with an hour break.
- You must have the right to work in the UK.
- You must have the ability and want to travel in the UK and Overseas on occasion if required.
