Shift: 4 on 4 off, 6am – 6pm

Salary: £25,883.78 per annum

Purpose of the role: As a Site-Based Administrator, you will play a critical role in ensuring the smooth and compliant movement of vehicles in and out of the site. Acting as the final checkpoint before vehicle release, you will verify documentation, update internal systems, and ensure operational accuracy. You’ll also support inbound logistics by guiding drivers to appropriate drop-off areas and validating delivery details. This role is ideal for someone with strong administrative skills, a sharp eye for detail, and a proactive mindset.

Responsibilities

  • Vehicle Exit & Release Coordination: Check and validate release paperwork for vehicles leaving site via single plate drivers and transporters; Ensure all documentation is accurate, complete, and updated on internal systems prior to vehicle departure; Act as the final safety net to prevent incorrect vehicle release; Despatch vehicles on the system and ensure accuracy and live recording.
  • Vehicle Entry & Drop-Off Oversight: Monitor incoming vehicles and verify delivery details; Direct drivers to correct drop-off zones based on site logistics; Liaise with site teams regarding any discrepancies or rejected vehicles; Liaise with logistics team and yard leads to coordinate planned deliveries and required prepared areas for drop off ahead of time.
  • Administrative & System Duties: Perform regular audits of paperwork and system records to ensure compliance and accuracy; General office duties such as completing data, uploading files to the internal systems, filing paperwork, responding to email queries professionally and promptly; Create and maintain records of incoming vehicles and liaise with the site on any vehicles that have been rejected; Other ad-hoc administrative duties as required to ensure all work is completed within the time allotted and targets are met; develop and maintain professional and positive working relationships with colleagues.

Qualifications & Experience

  • Proven experience in an administrative role (essential)
  • Strong IT skills, particularly in Excel and internal data systems (essential)
  • Excellent written and verbal communication skills
  • High level of accuracy and attention to detail
  • Strong organisational and time management abilities
  • Ability to work independently and as part of a team
  • Passion for the motor industry and commitment to high standards
