About the Role
We’re looking for an HR Operations Co‑Ordinator to provide hands‑on, day‑to‑day HR support within our hub.
This role is highly operational and focuses on supporting Team Leaders who manage large frontline teams.
You’ll handle high‑volume people activity, routine HR queries, and our absence trigger processes—ensuring consistency, compliance, and timely resolution.
ER cases will be escalated as appropriate via the ER Specialist
Key Responsibilities
- Operational HR Support
- Act as the first point of contact for Team Leaders and drivers on routine HR queries, policies, and procedures.
- Support managers in operational environments with high‑volume HR activity.
- Build strong working relationships with hub leadership teams.
- Absence & Attendance Management
- Support sickness reporting, return‑to‑work processes, and monitoring of absence triggers.
- Maintain accurate absence records and highlight trends.
- Co‑ordinate Occupational Health referrals and follow‑up actions.
- Support welfare conversations and early intervention activity.
- HR Administration & Case Coordination
- Prepare HR documentation including invites, outcomes, and case packs.
- Maintain accurate employee records and upload documentation to HR and payroll systems.
- Track active cases, absence, and key HR processes.
- Ensure all HR timelines and actions are completed in line with policy.
- Provide initial HR advice within defined policy boundaries.
- Identify risks or complexities and elevate to ER Specialists or HRBPs.
- Support managers in preparing for escalated meetings.
- Payroll & Time Management Support
- Assist with weekly timecard sign‑off for large driver populations.
- Liaise with Payroll to resolve queries relating to hours, absence, and pay discrepancies.
- Ensure timely and accurate submission of payroll information.
- Systems, Data & Compliance
- Upload and maintain employee documentation in HR systems.
- Ensure data accuracy, confidentiality, and GDPR compliance.
- Generate basic HR reports such as absence trends or case volumes.
- Hub Presence & Travel
- Maintain a visible, approachable HR presence within the hub.
- Travel to other hubs or sites as required.
- Support operational activity during periods of change or increased demand.
- Experience in HR administration, HR coordination, or junior HR advisory work.
- Experience with absence management and ER processes.
- Confident working in a fast‑paced operational environment.
- Strong organisational skills and ability to manage high-volume workloads.
- Clear communicator, able to support frontline and operational audiences.
- High attention to detail and strong confidentiality awareness.
- Experience supporting drivers, logistics, or frontline teams.
- Experience using HR and payroll systems.
- Experience supporting or noting formal HR meetings.
