Premises & Facilities within CIB UK Engineering is responsible for the end-to-end management of company premises, including their administration, maintenance, and adaptation. Its primary objective is to meet business needs while ensuring compliance with applicable regulations and administrative requirements. In addition, it manages the services implemented across buildings and offices, as well as other essential services that support employees in the effective performance of their activities.
About the job:
Role Summary: The role is essential for maintaining efficient operations. This position will focus on three critical areas:
- Real Estate Project Leadership, managing the end-to-end process of premises projects, including strict oversight of timelines, budgets, and achieving high levels of internal customer satisfaction;
- Integrated Facilities and Service Management, ensuring all daily operational services—such as facilities, reception, and space utilization—perform seamlessly and as expected;
- Data-Driven Optimization, which involves developing and tracking Key Performance Indicators (KPIs) to provide executive visibility and control over all services, ultimately enabling the effective optimization and resource allocation across the real estate portfolio.
Key Responsibilities:
- Monitoring and Coordination of Premises & Facilities Activities (CIB UK Engineering): Actively participate in the design and implementation of processes for monitoring and coordinating Premises & Facilities activities within CIB UK Engineering. This includes maintaining constant and effective communication with local teams, sponsor units (business areas using the premises), and supporting functions (legal, finance, maintenance, security, etc.) that provide end-to-end support. The objective is to ensure alignment among all stakeholders, resolve issues efficiently, and meet the timelines and objectives established for the premises and facilities.
- Premises & Facilities Project Management and Support: Collaborate in the end-to-end management of and/or provide strategic support for a wide range of projects related to Premises & Facilities within CIB UK Engineering. These projects may include space optimization initiatives, implementation of building technologies (BMS, energy efficiency), refurbishment and renovation works, as well as the coordination of relocations and openings of new office locations. The role is expected to actively contribute to the planning, execution, and monitoring of these projects, ensuring successful delivery and achievement of expected outcomes.
- Reporting and Analysis Support: Provide key support in the preparation of reports and data analysis related to Premises & Facilities management within CIB UK Engineering. This includes the collection, processing, and presentation of relevant information on operational performance, costs, energy consumption, space occupancy, and other key performance indicators (KPIs) to support strategic decision-making. This role is essential in providing management with accurate, timely information to enable proactive and data-driven facilities management.
Requirements:
- Bachelor's degree in Law, Economics, Business Administration, Architecture, Technical Architecture, or Engineering.
- Advanced level of Excel.
- Knowledge and hands-on experience with management tools (GPS) and AI tools (GPT and Gemini) will be valued.
- Experience in managing and negotiating real estate asset transactions and/or end-to-end (E2E) project development will be valued.
- Ability to prepare ad hoc reports and reporting.
- English and Spanish.
