The Proms Publications marketing co-ordinator provides administrative and editorial support to the Proms Publications team who produce the Proms Festival Guide plus the Proms and BBC Orchestra and Choirs concert programmes. You would also work on digital content, including for online programmes, websites and social media. The Proms Publications team sits within BBC Audio and Music Marketing and is part of the team responsible for marketing and live event promotion for the BBC Proms, BBC Concert Orchestra, BBC Philharmonic Orchestra, BBC Singers and BBC Symphony Orchestra.
The BBC Proms is the biggest classical music festival in the world. We run over 100 live events over 2 months in the summer at the Royal Albert Hall in London and venues across the UK. Nearly everything we do is broadcast across BBC Radio, TV and online. We are a creative, innovative festival that connects with audiences around the UK and across the globe. In any single week at the BBC Proms you could be working on events as wide-ranging as the First and Last Nights of the Proms, family events such as the Horrible Science – Big Bang Prom, the Miles Davis Centenary, collaborations with a world-class visiting orchestra or for the BBC Orchestras and Choirs. We want the Proms to be for everyone, with 2027 being a special year as we celebrate 100 years of the BBC running the festival, and this is reflected in all our work. We also have huge range in what we present with our Orchestras and Choirs. You would be working on the concert programmes for the BBC Symphony Orchestra concert season at the Barbican, the BBC Philharmonic’s season at Bridgewater Hall and concerts given by the BBC Singers and BBC Concert Orchestra across the UK.
YOUR KEY RESPONSIBILITIES AND IMPACT
- Provide day-to-day administrative assistance to the Proms Publications team, including supporting the production of printed and digital programmes and related materials, as well as Proms merchandise.
- Manage receipt of biographical materials and photographs; distribute proofs and collate and track responses.
- Handle picture research and acquisition for publications; liaise with external sources and picture libraries.
- Raise requisitions and payments via BBC finance systems and keep detailed cost spreadsheets.
- Maintain and develop administrative systems and processes; manage the archiving and distribution of programmes and other materials.
YOUR SKILLS AND EXPERIENCE
ESSENTIAL CRITERIA:
- Proven experience of providing comprehensive administrative assistance to a busy content production team, along with excellent organisational, planning, interpersonal and communication skills.
- Excellent written and spoken English, with great attention to detail and experience in proofreading content.
- Skilled in building and maintaining effective working relationships with a wide range of internal and external stakeholders, including artists, agents, suppliers and partner organisations.
- Confident using digital platforms and tools such as Dropbox, Pinterest, Google files, Smartsheet, Excel, CMS and social media; willing to learn and use BBC finance systems including SAP, Smartbook and Quick Order.
- Proven experience of updating and maintaining dynamic websites and other digital content; publishing to social platforms if required.
DESIRABLE:
- Interest in classical music and live music in general.
- Experience of working in a marketing or publications environment preferably within the arts including creating editorial content on websites.
- An understanding of publication procedures and publishing software such as Adobe Creative Suite and InDesign and willingness to be trained to use it.
- Knowledge of or interest in researching imagery for publications including illustrations and photos to accompany articles and artist biographies.
- Ability to balance creative aspirations with resource and cost constraints.
