The Student Services Coordinator role is customer facing, requiring good communication and interâpersonal skills, projecting a friendly, open and professional manner at all times when representing the college. We expect our Student Services staff to be team players, able to flex and cover any area outlined below, while developing individual strengths and areas of ownership. In this particular role, we are looking for someone who will focus more on our accommodation provision and student welfare, as well as carrying out other day-to-day tasks as part of the team. The ideal candidate will be a caring and outgoing âpeopleâpersonâ who enjoys being around our wonderful international students.
General Responsibilities
- Keep the college database maintained and up to date with correct student details.
- Process bookings to enroll students, take payments and send relevant documents to students.
- Follow the operational systems, procedures, and processes to ensure that all governance, compliance, and Health & Safety standards are maintained.
- Escalate any student complaints where appropriate according to the Bayswater guidelines.
Social Programme
- Assist in the organisation of the activity programmes for junior and adult groups that come throughout the year.
- Coordinate our Activity Leaders and their rotas.
Welfare
- Take responsibility for the welfare, safety and care of students at all times, extra duty of care is for students under the age of 18.
- Participate in the rota with the college team to provide emergency telephone support out of office hours (evenings and weekends).
- Act as Deputy Designated Safeguarding Lead.
Accommodation
- Responsible for all accommodation bookings for the Brighton school, including homestays, residences, hostels and hotels.
- Ensure all accommodation providers meet safeguarding, suitability and accrediting body requirements, including conducting homestay visits, checks and regular reviews.
- Maintain accurate, up-to-date accommodation records, contracts and availability information.
- Administer host family payments accurately and on time, liaising with Finance as required and resolving payment queries promptly.
- Act promptly on accommodation-related issues or complaints, balancing student welfare with strong relationship management.
Qualifications
- Undergraduate degree.
- Safeguarding qualification (desirable).
- Experience working with groups of international students in an educational setting.
- Proven experience in building and managing high-performing teams.
- Demonstrable experience of safeguarding children and applying best practice.
- Experience working in student services and/or admissions (desirable).
