Bay Cove Human Services’ mission is to partner with people to overcome challenges and realize personal potential. Bay Cove pursues this mission by providing individualized and compassionate services to people facing the challenges associated with developmental disabilities, mental illness, substance use disorders, and homelessness at more than 175 program sites throughout Greater Boston and Southeastern Massachusetts.

Job Summary:

The MCI Operations Assistant provides a range of operational and administrative support to the MCI Directors and is responsible for organizing, coordinating, and monitoring all non-clinical operations of Boston Mobile Crisis Intervention Team at the UCC (Urgent Care Center). The Operations Assistant will often be the first responder to Persons, families, funders and outside providers. The Operations Assistant contributes to the Bay Cove mission by performing their duties in a manner consistent with recovery principles.

This is a non-exempt position.

Essential Functions of Position:

  • Provide a range of administrative support to the UCC program including answering the phone, setting up files, ordering supplies and equipment, securing taxi vouchers, compiling bills, preparing check requests etc
  • Collects and organizes data needed for program evaluation and improvement
  • Prepare graphs, infographics and other data visualization tools to display program information for funders
  • Helps to monitor maintaining files and records in accordance with agency and program standards
  • Manage clients in the waiting area by greeting them, monitoring for acute changes in mental status, and obtaining snacks, drinks, and physical resources as needed
  • Maintain the cleanliness of the waiting area and evaluation spaces
  • Triage and coordinate communication between the BMC Call Center and the program by answering phones and obtaining triage information for walk-ins
  • Ensure answers to questions for persons, families, community sources, and agencies are delivered in an accurate and timely manner
  • Utilize recovery-oriented language and principles in all communication and interactions with Persons, colleagues, and collaterals
  • Perform other duties as assigned by supervisor

Requirements for the Position:

  • Bachelor’s Degree is preferred, preferably in Psychology, Social Work, or a related area
  • A High School diploma or GED is required
  • Experience working in programs providing services to individuals who have mental health and/or substance use challenges is strongly preferred
  • Knowledge of accounting procedures, medical records management, and personnel policies and procedures is preferred.
  • Professional written and oral communications skills.
  • High degree of personal organization, attention to detail, and time management skills.
  • Proficiency in word processing and other computer functions using Windows, Word, and Google Email and Apps.
  • Ability to climb stairs and carry up to 40 pounds, as well as the physical capacity to assist people with mobility impairments as needed.
  • Bilingual candidates encouraged to apply, pay differential offered for candidates with fluency in certain essential languages.
