The organization provides individualized and compassionate services to individuals facing developmental disabilities, mental illness, substance use disorders, and homelessness across more than 175 program sites throughout Greater Boston and Southeastern Massachusetts.

Reports To: ACCS Administrative and Operations Manager

Job Summary: As part of the multidisciplinary ACCS Integrated Team, the Administrative Coordinator is responsible for organizing, coordinating, and monitoring all non-clinical operations of two ACCS teams under the supervision of the ACCS Administrative and Operations Manager. This role includes providing administrative support, triaging calls, assisting Persons, families, and funding agencies, and supporting team staff in office and field settings. The Administrative Coordinator often serves as the first responder to Persons, families, funders, and outside providers, ensuring timely and accurate information dissemination in line with Bay Cove’s mission.

This is a non-exempt position.

Supervisory Responsibilities: At the discretion of the ACCS Administrative and Operations Manager.

Essential Functions:

  • Serve as a liaison between Persons and staff, greeting visitors and managing communication, including triage and information dissemination.
  • Complete administrative tasks such as note-taking, report preparation, updating binders, reviewing utilization data, and managing staff directories and schedules.
  • Prepare check requests and manage disbursement of funds according to individual budgets.
  • Maintain and monitor electronic and physical charts, ensuring documentation compliance and timely updates.
  • Assist in candidate engagement and coordinate communication with candidates and HR.
  • Sort mail and organize interoffice logistics.
  • Conduct post-discharge surveys to inform service planning and quality improvement.
  • Use recovery-oriented language and principles in all interactions.
  • Perform other duties as assigned.

Requirements:

  • Bachelor’s Degree in Psychology, Social Work, or related field preferred; equivalent experience may be considered.
  • Experience working with individuals with mental health issues preferred.
  • Strong commitment to supporting individuals with mental health challenges.
  • Knowledge of accounting, medical records management, and personnel policies is a plus.
  • Excellent written and oral communication skills.
  • Highly organized with attention to detail and time management skills.
  • Proficiency in Word, Excel, Google Sheets, and Google Apps.
  • Physical ability to climb stairs, carry up to 40 pounds, and assist individuals with mobility impairments.
  • Use of personal cell phone for work communications.
  • Valid driver’s license preferred.
  • Bilingual candidates encouraged; language fluency may include a pay differential.
