Summary
This role provides administrative and coordination support to Engineering and Operations teams, helping to keep site activities organized, on schedule, and properly documented.
The successful candidate will manage records, coordinate planned work, support contractors and internal teams, and ensure company systems are kept up to date.
Strong organisation, communication, and data management skills are essential to support efficient day-to-day operations.
Ensure that all activities are performed in accordance with c GMP, current medical device regulations (MDD/MDR) and MDSAP, whilst adhering to H&S legislation and Baxter EHS requirements.
Role And Responsibilities
Duties include but are not limited to
- Create, update, and manage work requests and activities within the company maintenance system.
- Maintain accurate equipment, asset, and operational records.
- Coordinate planned maintenance and service activities to ensure work is completed on schedule.
- Monitor the progress of tasks and follow up with relevant teams when required.
- Prepare job packs, schedules, and supporting documentation for planned activities.
- Work closely with engineering, facilities, manufacturing, and external suppliers to coordinate site activities.
- Schedule contractor visits and act as a point of contact while work is being carried out.
- Maintain accurate records of completed work, service reports, and supporting documentation.
- Support the review and organisation of safety documentation, including risk assessments and work permits.
- Ensure all records, trackers, and filing systems are kept up to date and easily accessible.
- Produce regular reports on completed work, outstanding activities, and overall performance.
- Support planning meetings and help prioritise workload across multiple activities.
- Communicate updates clearly to stakeholders on schedules, progress, and any delays.
- Contribute to a safe working environment by following company procedures and identifying opportunities for improvement.
- Support general administrative activities within the Engineering and Operations teams.
- Ensure correct Waste Streams are used when discarding materials.
Essential Skills and Experience
- Good Microsoft Office skills, particularly Excel.
- Experience using business systems, databases, or maintenance management software.
- Strong administrative, planning, and organisational skills.
- Experience coordinating tasks, schedules, or service activities.
- Ability to manage data accurately and maintain detailed records.
- Good communication skills and confidence working with different teams and external suppliers.
- Ability to prioritise tasks and work independently.
Desirable
- Experience within a manufacturing, engineering, facilities, or operational environment.
- Familiarity with IBM Maximo or similar management systems.
- Understanding of maintenance or contractor coordination processes.
