About the role

We’re seeking a Commercial Team Assistant to provide vital operational, administrative, and HR support to the Commercial Team. This London-based hybrid role is located at our Soho head office.

What you will be doing…

  • Organising and booking travel, accommodation, restaurants, and catering (including breakfast, lunch, and refreshments) for the Commercial Team.
  • Coordinating weekly internal team and external client meetings, managing diaries, logistics, refreshments, and guest hospitality.
  • Assisting with company and industry events such as cultural events, conferences, and awards ceremonies.
  • Managing payment processes within the Commercial Team by liaising with Procurement and Finance teams, setting up new suppliers, raising and monitoring purchase orders in D365, and ensuring invoices are processed on time.
  • Uploading and reconciling expenses in SAP Concur.
  • Providing ad‑hoc administrative support to PAs and the wider team as required.

HR Administration

  • Drafting and issuing formal HR documentation, including contracts, offer letters, and employment changes (starters, leavers, personal details updates), and maintaining employee records.
  • Supporting onboarding processes by coordinating inductions, arranging office equipment, and liaising with the Tech team to ensure new starters have a smooth introduction.
  • Managing the quarterly Sales Incentive Schemes, ensuring submissions are completed accurately and on time for Payroll.
  • Running ad‑hoc analytics, e.g., team holiday allowance reports.
  • Coordinating the Long Service Awards process to recognise employee milestones and contributions.
  • Liaising closely with Payroll and the People team to support wider HR initiatives.

What we’re looking for…

  • Experience in an Administration and/or a Team Assistant role.
  • Able to manage multiple tasks effectively and prioritise workload to meet deadlines.
  • Ability to remain calm and work well under pressure in a fast‑paced environment.
  • Able to build and maintain strong relationships with internal and external stakeholders.
  • An effective communicator, confident in engaging with individuals at all levels.
  • Proficiency in Microsoft Office including; Outlook, Word, Excel & PowerPoint.
