An exciting opportunity has arisen for an efficient, organised and experienced administrator to work closely with the Headteacher and Senior Leadership Team. This is a varied and interesting role and the post holder must have excellent written and verbal communication skills and work with a high degree of accuracy.
Purpose of JobProvide and coordinate a comprehensive and professional administrative service for the Headteacher and Senior Leadership Team (SLT). Manage team members to ensure that their areas of responsibility are appropriately delivered. Undertake in‑school HR and Governance tasks in conjunction with the Trust Leads.
Responsibilities- First point of contact for the Headteacher and a public face of the school for colleagues, learners and parents/carers.
- Manage and coordinate a confidential administrative support service to the SLT, including minute taking.
- Undertake administrative duties such as typing and producing letters, reports, presentations, spreadsheets, meeting agendas and minutes.
- Maintain the Headteacher’s diary and arrange priority meetings as necessary, briefing the Headteacher appropriately.
- Build constructive relationships with all key stakeholders in school; colleagues, governors, learners and parents/carers.
- Remain conversant with Senior Leaders' workloads, actively supporting them in day‑to‑day school matters and queries, with minimal supervision.
- Ensure robust filing, records and management information systems (paper and electronic) are in place and maintained for efficient retrieval.
- Organise and plan events and meetings; book rooms, manage diaries and provide supporting information.
- Maintain friendly, supportive and professional contact with a wide range of stakeholders, handling queries and potential conflict situations with professionalism.
- Foster effective relationships with the wider community, other schools and external organisations, coordinating the Stronger Together Parent Forum half‑termly meetings.
- Respond to queries, including complaints addressed to the Headteacher.
- Update the school website as directed by the Headteacher.
- Undertake HR administration and activities in liaison with the Headteacher and People and Talent Team, focusing on recruitment coordination and selection processes.
- Maintain the Single Central Record and ensure appropriate checks are undertaken for new colleagues.
- Arrange induction and ensure probationary monitoring takes place.
- Complete accurate monthly payroll information to strict deadlines.
- Prepare, analyse and upload statutory data returns including government and local authority census.
- Maintain MIS for colleague records.
- Support with arranging cover for staff absences.
- Collate and share governance information and paperwork in a timely manner.
- Maintain information about Governor training and other key documentation.
- Ensure the school website is up to date with relevant information.
- Coordinate and arrange refreshments for all Governor related meetings.
- Line manage a small associate colleague team; including direction, coordination of tasks, training and development, and line management tasks such as performance review.
- Maintain an efficient and effective office environment and ensure reception is adequately staffed.
- Help promote positive experiences and a culture of supportiveness through exceptional customer service with all colleagues and stakeholders visiting the school or meeting the SLT.
Undertake any duties commensurate with the post as directed by the Headteacher/Line Manager. Promote and actively support the school's responsibilities towards safeguarding. Have good knowledge and understanding of the Data Protection Act 2018 and commit to compliance. Develop and maintain awareness of mental health issues affecting colleagues and learners, acting in a supportive way to enable openness about concerns.
