The role involves providing daytime support with editing, formatting, working with templates, and troubleshooting document issues. You will work closely with our lawyers and the wider practice support team to ensure that documents, correspondence, presentations, and other materials meet Bates Wells’ standards and are delivered promptly. Your technical capability, attention to detail, client‑focused approach, and collaborative working style will help enable our lawyers to focus on client work and business development.

Key Responsibilities

  • Produce, format, and amend a wide range of legal documents (correspondence, agreements, reports, bundles, and presentations) accurately and to a high standard.
  • Reformat documents into house style and work with precedents, numbering, tables, and other complex formatting requirements.
  • Troubleshoot formatting issues, repair corrupt documents, and resolve inconsistencies.
  • Process tracked changes accurately and use document comparison tools.

Technology & Systems

  • Use the firm’s document management system (Liberate), iManage, and Katchr dashboards as required.
  • Work with MS Office, PDFdocs, DocuSign, MS Teams, and other software to manage and produce documents.
  • Produce transcription using digital dictation when needed.
  • Stay up to date with firm processes, technology, workflows, and best practice.

Teamwork & Collaboration

  • Work flexibly to support colleagues during peak workloads or absences.
  • Seek clarification when needed and maintain clear communication with lawyers, business teams, and Practice Support team members.
  • Contribute to maintaining process documentation and team know‑how.

About You

  • Previous experience in a document production or support role in a law firm.
  • Strong experience with complex Word documents, styles, templates, and tracked changes.
  • Strong literacy, numeracy, attention to detail, and IT skills, including advanced MS Word and good Excel, PowerPoint, and Outlook capability.
  • Typing speed of 60+ WPM, with the ability to resolve formatting issues and repair corrupted documents.
  • Well‑organised, with the ability to work collaboratively and manage competing tasks.
  • Deliver high‑quality work and provide reliable support to lawyers and colleagues.
  • Communicate clearly and build constructive working relationships at all levels.
  • Able to adapt to changing priorities and contribute effectively within a team.
  • Open to learning and developing your skills, including new technologies and processes.
