What you\’ll do
The Facilities Coordinator II is a user of the Bassett Healthcare Network\’s Computerized Maintenance Management System, including review and approval of all data entered into the system, sorting, reporting, and analyzing data for all departments within Facilities Management with an entity up to 500,000 square feet and Support Systems. Coordinates the activities for the maintenance shops and support service departments, through the assignments of work orders, including but not limited to Electrical, HVAC, Mechanical, Carpentry, Paint, Grounds, and Regional Maintenance. Coordinates Maintenance workflow and identifies system deficiencies. Use of Bassett Healthcare Network\’s Computerized Maintenance System to include, software training, and accurate reporting, and effectively ensures it functions with the most current versions and applications. Exercises discretion and judgment with the authority to make independent decisions on matters of significance within the Facilities division. Involved in the planning, design, and establishment of data entry standards used in the CMMS. Follows standards/procedures used for entering facility-wide information. Designs and creates reports and other reporting tools used in work orders, preventive maintenance, and productivity analysis. Coordinates facility asset records and preventative maintenance schedules. This position creates, coordinates, and maintains documentation of Preventive Maintenance and required documentation for The Joint Commission, Code Inspections, Environment of Care Rounds, and other regulatory agencies for all of the Bassett Healthcare Network under the direction of the Facilities Director.
- User for the Bassett Healthcare Network\’s Computerized Maintenance Management System, including review and approval of all data entered into the system, sorting, reporting and analyzing data for all departments within Facilities Management and Support Systems. Directing the activities for the maintenance shops and support service departments, through the assignments of work orders, including but not limited to Electrical, HVAC, Mechanical, Carpentry, Paint, Grounds, and Regional Maintenance. Manages Maintenance workflow and identify system deficiencies.
- Will receive, approve, prioritize, assign, close out and oversee the distribution of all (100%) designated work orders and service requests on a daily basis.
- Ensure that all work orders are created and closed out for all shops on a daily basis and will provide customer service calls as required.
- Completes designated monthly and periodic reports as required on time (productivity, payroll, PM completions, safety, finance, and other requests). Complete specialized reporting including data analysis, recommendations, and summary report.
- Controls access and ensures the entry and preservation of accurate records of preventative and corrective maintenance work order requests.
- Manages the establishment of use of global codes used in the CMMS.
- Performs periodic analysis of preventative maintenance program.
- Documents and tracks all equipment modifications.
- Creation and monitoring of work orders; including Urgent Work Orders with regards to patient and staff safety.
- Responsible for the planning of all maintenance activities for operational assets including preventative maintenance.
- Must have good interpersonal skills, being able to liaise between operation’s needs and maintenance team availability.
- Keeps track of required documentation for facilities compliance to include Code Inspections, Environment of Care rounds, Joint Commission, Preventive Maintenance completion and any other regulatory review agency. Ensures resolution of any inspection deficiencies.
- Performs preliminary review of all inspections and enters all findings requiring tracking into the Bassett Healthcare Network\’s system and assigns work according to trades and priorities required.
- Ensures work is completed in a timely manner and that complete documentation is available.
- Coordinates testing results required by Joint Commission and other regulatory review agencies and monitors that testing occurs meeting task instructions and frequency.
- Keeps track of all Environment of Care required reporting documentation for the Joint Commission.
- Ability to anticipate problems and escalate if appropriate.
- Establishes timely and effective communication with Facilities Management and customers to keep all aware of work process, delays or completion.
- Communicates issues as they arise in a professional and solution-orientated manner.
- Conducts analysis and designs effective methods of extracting and reporting data to provide actionable information.
- Identify and correct system, delivery or procedural problems that interfere with customer satisfaction.
- Recommends and develops processes and procedures to improve efficiency.
- Responsible for business occupancy and Critical Access Hospital compliance and data entry.
- Performs other duties as requested by supervisor.

Pay Range
Salary is based on a variety of factors, including, but not limited to, qualifications, experience, education, licenses, specialty, training, and fair market evaluation based on industry standards. The above compensation range represents a good faith belief of the compensation range by Bassett Healthcare Network, and its entities and affiliates, at the time of this posting or advertisement.
Pay Range Minimum:
USD $23.78/Hr.
Pay Range Maximum:
USD $35.66/Hr.
