The Opportunity
At Basis Technologies, we are seeking an experienced Office Manager (13‑Month Maternity Leave Cover, ideal start date in early August) to oversee the efficient operation of our Bracknell‑based UK office during this period. You will report to the Chief People Officer and will maintain the workplace for our 60+ UK‑based employees and the wider global team.
Responsibilities
- Manage the UK office: vendor contracts, building security coordination, kitchen and office supplies restocking, catering for in‑house meetings/events, and act as the main point of contact for all office-related matters.
- Manage our Travel Management System, Perk, as the internal point of contact, negotiating corporate rates with local hotels.
- Provide C‑Level support: arrange and attend all Executive Management Team meetings, take notes, handle occasional diary management, travel arrangements, and ad‑hoc projects.
- Support board meetings: manage travel and circulate agendas.
- Plan internal events: company meetings, town halls, training sessions, and holiday parties.
- Negotiate and maintain contracts with suppliers such as hotels, phone contracts, and office cleaning services.
- Handle Health and Safety: liaise with external H&S consultants, maintain Global H&S policies, and serve as First Aid and Fire Marshal for the UK office.
- Support ESG initiatives: organise volunteer days, manage the mental health first aiders programme, and report on carbon accounting with our partner Greenly.
- Assist with onboarding for new UK‑based joiners and various ad‑hoc duties.
Qualifications
- 5+ years of experience in office management within a dynamic scale‑up organisation.
- 3+ years of experience supporting C‑Level executives in a fast‑paced environment.
- Commute to and work from the Bracknell office (minimum 3 days per week).
- Excellent written and verbal communication skills in English.
- Highly organised with keen attention to detail.
- Proficient in Microsoft Office (Word, PowerPoint, Excel).
- Experience managing vendor contracts.
- Experience managing a Travel Management System (e.g., Perk).
Desirable Skills
- Understanding of SAP.
- First Aid trained.
- Fire Marshal trained.
- ESG experience.
