Role information

To coordinate the activities of the commercial services team in order to:

  • Expand BASC’s member offers portfolio, enhancing a sustainable and growing non‑subscription income stream while delivering added value to members.
  • Increase non‑subscription income through sponsorship and fundraising initiatives.

Working on your own initiative, you will provide coordination and financial and organisational support to the head of commercial services and the wider commercial team. The role also involves liaising with commercial partners and sponsors, as well as teams across BASC head office and regional and country centres as required. You will maintain regular contact with BASC members and external stakeholders, ensuring consistently high standards of service delivery.

Key accountabilities and responsibilities

  • Provide high‑quality customer service by responding promptly to enquiries from BASC members and external stakeholders via phone, email and web channels and offering advice on the full range of member offers (including the vehicle scheme).
  • Support the head of commercial services and the commercial services team with operational, administrative and communications activities to ensure consistently high standards of service delivery.
  • Manage day‑to‑day office and financial administration including:
    • Budget scheduling, payment processing and maintaining accurate financial records.
    • Raising purchase orders, processing invoices and handling petty cash.
    • Recording and reconciling departmental income and expenditure (including Focal Point).
    • Supporting credit control activities, including reviewing and chasing aged debt.
    • Assisting with audit queries and financial reporting (quarterly and year‑end).
    • Reconciliation of income from member offers by quarter and year end.
  • Coordinate and administer commercial services processes including:
    • Processing vehicle scheme orders in line with procedures and maintaining accurate CRM and internal records.
    • Maintaining logs and records (e.g., OTI log, member plaudits, demo vehicle records, contact databases).
    • Undertaking due diligence and credit checks as required.
  • Maintain and promote BASC’s commercial offering by:
    • Creating, updating and managing website content for member offers in a timely manner.
  • Supporting promotional activity, including social media and email direct marketing (EDMs), supporting commercial partnerships and income generation activity by:
    • Liaising with commercial partners, sponsors, and internal stakeholders.
    • Supporting partner and sponsor meetings, including preparing presentations, tracking actions and reconciling outputs.
    • Assisting with B2B quotations and agreements using approved templates.
  • Contribute to reporting and team coordination by:
    • Providing updates for head of commercial services, team meetings, KAM meetings and council reports.
    • Supporting reconciliation of income, units sold and partner performance.
  • Act as departmental lead for the BASC intranet and maintain accurate internal and external contact information.
  • Represent BASC at events, shows and exhibitions as required, including travel, set‑up and attendance.

Experience

  • A level standard together with GCSE/A‑C English and Maths.
  • BTEC Diploma.
  • Customer service qualification or training.
  • Enthusiasm to undertake work‑based training.
  • Experience in a senior administrative/coordination role.
  • Experienced in the use of Microsoft Office packages including Word, Outlook, and Excel.
  • Familiar with AI packages.
  • Experience of providing a high standard of service to customers, ideally in a similar fast‑paced professional environment.
  • Experience of talking to customers/members and understanding their requirements.
  • Well presented. Professional and friendly approach.
  • Able to work on own initiative.
  • Able to prioritise and achieve deadlines.
  • Excellent verbal and written communication skills.
  • Good knowledge of office systems and procedures.
  • Sound IT and administration skills.

General requirements

BASC head office is based in Marford Mill, Rossett, with country and regional offices across the UK. We have an agile working approach, with our core hours being between 8.30 – 5.30 Monday to Friday. We do expect some weekend and out‑of‑hours working to support our membership engagement. Your working hours are stated in your contract of employment. You are expected to be flexible, agile and willing to undertake any other duties that may be reasonably required.
