This role is a fantastic opportunity for apprentices who are currently studying for NVQ Level 2/3; the salary would be the Agenda for Change Annex 21 trainee rate (75% max of band) until they have completed their apprenticeship. An exciting opportunity has arisen for a highly motivated individual to join our SEQOHS accredited service based between Barnsley Hospital NHS Foundation Trust and Rotherham Hospital, Woodside NHS Health and Wellbeing, Moorgate Road, Rotherham.

The Postholder will provide efficient clerical support to the Occupational Health Service and will be expected to carry out a full range of clerical duties.

Main duties of the job:
  • Be the first point of contact with the service by undertaking reception duties and dealing with enquiries either in person or by telephone.
  • Direct enquiries according to urgency or arrange and re-schedule appointments with the appropriate practitioner.
  • Maintain the appointments system electronically using OHS database (OPAS-G2).
  • Provide advice according to Trust and service protocols.
  • Liaise with the Appointing Officers in the Trusts recruitment processes.
  • Prepare employees’ personal occupational health records on OPAS-G2 and input demographic details on the database.
  • Input data relating to immunisations and laboratory results into OHS database.
  • Produce certification of immunisation and health screening for employees past and present, via OHS database.
  • Make appointments in accordance with immunisation policies.
  • Input details of clients who are terminating employment into database.
  • Maintain storage of Occupational Health records in accordance with legal requirements.
  • Maintain confidentiality and discretion, showing sensitivity to the needs of others.
  • Carry out other duties (as may be requested) from time to time, which are consistent with the grade.
  • Supervise and train new employees on office and computer procedures.

Person Specification:
  • Knowledge and Awareness: Knowledge of Microsoft Office, knowledge of legal requirements of record keeping in relation to Occupational Health Service, understanding of the functions of an Occupational Health Service, knowledge of Access and Excel, knowledge of relevant Trust Policies.
  • Experience: Previous experience of working in an office environment, OCR Text/Word Processing, CLAIT, experience of working in an Occupational Health Environment.
  • Qualifications: Educated to GCSE level or equivalent, NVQ3 Business Administration.
  • Personal Attributes: Confidence in communicating at all levels of the organisation, shows respect and sensitivity to the needs of others.
