Patients:

  • Process appointment requests from patients by telephone and in person.
  • Manage patient bookings manually or through the booking system.
  • Handle visit requests and register new patients and temporary residents.
  • Process patients\’ change of address manually or via GP links.
  • Manage repeat prescription requests following practice guidelines.
  • Accept and process specimens ready for collection.
  • Understand the Practice\’s appointment system, including slot types and times.
  • Operate telephone systems, including daytime and out-of-hours services.
  • Perform computer data entry and record information per practice procedures and GDPR.
  • Take messages and relay information appropriately.
  • Complete workflow tasks within agreed timescales, including:
    • Processing recalls
    • Allocating pathology results
    • Scanning medical information to patient records
    • Assigning workflow to doctors
    • Read coding medical information
    • Processing out-of-hours information electronically
    • Updating records for deceased patients
    • Processing online prescription requests and dealing with no-mads
    • Processing hospital discharge letters
    • Managing scanned workflow from doctors
    • Managing patient deductions and recalls for chronic disease management
    • Processing tasks in SystmOne
    • Handling insurance reports and medical records requests

Medical Records:

  • Manage medical records, ensuring they are organized, neat, and in good repair.
  • Update patient details such as address and telephone numbers in the medical records.
  • Document all patient contacts in the electronic medical record.

Reception:

  • Ensure the premises are clean, heated/ventilated, and ready for the day at opening.
  • Assist in organizing patient appointments and communicate information to staff, patients, and healthcare providers.
  • Ensure the surgeries are stocked with necessary stationery and equipment.
  • Receive and exchange routine information between clinicians, healthcare providers, staff, patients, and external agencies.
