Overview
As Personal Assistant to the Chief Financial Officer (CFO), you\’ll play an important role in helping our CFO manage a busy and varied workload. You\’ll be at the heart of day-to-day operations, providing high-level administrative support and ensuring that communications, schedules and confidential matters are handled efficiently and with discretion. You\’ll take ownership of diary management, meeting coordination, and email communications, helping our CFO stay organised and well-prepared. From gathering and collating information to producing accurate reports and minutes, your attention to detail and ability to work independently will be key. In this role, you\’ll maintain systems for document storage and retrieval, manage a small expenditure budget, and ensure financial records are kept up to date. You\’ll also be a point of contact for staff, visitors and external partners, representing the CFO and other senior leaders with professionalism and confidence.
You\’ll be trusted to speak on behalf of the CFO when needed, respond to queries, and coordinate meetings and conferences. Your written communication skills will be put to good use in drafting correspondence, proofreading documents, and ensuring everything you produce is clear and accurate. This is a varied and rewarding role where your organisational skills, initiative and ability to manage competing priorities will make a real difference. Responsibilities
- Manage extensive diary for the CFO, ensuring meetings are well-organised and the CFO’s time is used effectively; coordinate agendas, prepare documentation, and take accurate minutes with follow-up on action points
- Provide high-level administrative support, manage communications, schedules and confidential matters with professionalism and discretion
- Coordinate inner-office and external communications, and act as a point of contact for staff, visitors and external partners, representing the CFO and other senior leaders
- Gather and collate financial information to meet deadlines and provide timely, accurate data to the CFO
- Maintain systems for document storage and retrieval and keep financial records up to date
- Manage a small expenditure budget
- Draft correspondence, proofread documents, and produce reports with a high level of accuracy
- Manage incoming and outgoing post, screen calls and emails, and coordinate internal and external meetings and conferences
Qualifications
- GCSE English and Maths (Grade C/Level 2 or above)
- NVQ Level 2 or equivalent
- Office experience in fast-paced environments
- Skilled in meeting coordination, minute-taking, and action tracking
- Proven ability to handle routine and unexpected tasks professionally
- Strong diary management experience
- Effective task coordination under tight deadlines without compromising quality
