We have an exciting opportunity for a Personal Assistant (PA) to form part of a small EA/PA team responsible for delivering complex and bespoke services to our Managing Partners. This role can be based from any of our UK offices on a hybrid working basis between home and office (with flexibility) and frequent travel throughout the year to London.
Included in our Central Operations business area is our Secretarial Services hub, the goal of this hub is to provide central and dedicated secretarial administration to all business areas, employees, and Partners at Barnett Waddingham. In order to provide these services, the PA will liaise with internal contacts, external clients and service providers as required.
A snapshot of your day:
- Act as first point of contact for Managing Partners, welcoming their guests and developing strong working relationships with clients and employees at all levels of seniority.
- Complex calendar and inbox management.
- Assist both Partners with time management, ensuring that they have the time to deliver their commitments (to clients as well as internally), through scheduling and subtle reminders in review meetings and messages. Follow up on delegated tasks and ensure status updates are provided appropriately.
- Meeting management (scheduling, hosting and minute taking, as required) and collating/formatting meeting packs and briefing papers in advance of meetings.
- Organise travel and accommodation required in relation to diary schedules and manage expense submissions and credit card reconciliations.
- Support with events, liaising with the marketing teams/other business areas.
- Screen telephone calls, enquiries, and requests from external and internal sources.
- Work closely with the Partner and act as support as Board Secretary in preparing agendas, collate and distribute papers to Committee members, organise meeting dates, take minutes, transcribe and distribute minutes, and follow up on action points.
- Create and format presentations and documentation for both Partners and wider BW audience.
- Work with the Secretarial Services Manager in annual service audit reviews and internal training programme for lower profile level Secretaries.
- Travel to other office locations, as required.
We would love to hear from you if you have:
- Previous experience as a PA / EA to Senior Management/Director level or similar.
- An adaptable and tailored approach in PA support delivery.
- Excellent Calendar, Meeting and Travel arrangement experience for Senior/Director Level roles.
- Excellent resilience and solution-based thinking in approach.
- Experience in supporting with the arrangements of small, medium, and large events.
- An ability to maintain professionalism in all matters. Discretion and confidentiality are essential attributes required in service delivery.
- Advanced Microsoft Office skills, and technically adept at manipulating data within the various software packages.
- Willingness to learn new technical systems/processes.
- High levels of self-motivation and the skills to communicate at all levels (both internally and externally).
