Overview

We seeking a HR Assistant to join our People & Culture Team on a fixed-term basis until January 2027. This role is full-time, permanent and can be based from our Bristol or Cheltenham office on a hybrid basis. We may also consider a part-time basis.

The People & Culture (P&C) team are based across our offices with main presence in Cheltenham and Bristol. The P&C team provides a full HR service to the Firm encompassing Resourcing and Talent Acquisition, HR Operations, Total Rewards & People Solutions, Organisational Development & Talent, and Employee Experience & Engagement. The HR Operations team manage essential administrative processes and practical aspects of the HR function ensuring smooth day-to-day operational activities. Core responsibilities include onboarding & probation compliance, maintaining HRIS data accuracy, payroll data entry, aligning HR processes with company policy & legal regulations, employee record management, employment changes, and supporting employees and managers with employee lifecycle activities.

The HR Assistant reports into the HR Operations Manager. The HR Assistant provides the delivery of operational activities and support services by using well developed technical or specialist skills and knowledge.

Responsibilities

  • Actively monitor HR Tickets with timely resolution to queries; acting as a first response, investigating and escalating to SME where appropriate.
  • Ensure quality and timely work is delivered, with the employee/internal customer experience being embedded throughout.
  • Manage employee lifecycle actions and employment changes in line with company policy & legislation
  • Maintain and update electronic personnel files including employment & legal documentation.
  • Produce quality employment letters, contracts and supporting documentation for all staff correspondence including probation, exam and exit processes, ensuring accuracy.
  • Monitor Parental Leave processes in line with policy, assisting employees and Line Managers navigate requirements promptly, ensuring accurate data capture for payroll and benefits.
  • Assume responsibility for P&C, Partner and TUPE Onboarding/Probation and related activities
  • Manage probation extensions in line with company policy, maintaining consistent communication with key stakeholders.
  • Monitor visa & immigration compliance using sound judgment alongside UKVI legislation to assist employees and Line Managers navigate visa restrictions promptly. and hold responsibility of Level 2 user within UK Visa & Immigration SMS & complete role SOC assessments.
  • Ensure accurate employee data is housed within the HRIS with latest information relating to employees.
  • Provide accurate reporting of employee data to the business as required & answer Bid questionnaires in line with agreed deadlines.
  • Check and process department invoices & raise purchase orders ensuring accuracy in line with approved budgeted expenditure.
  • Participate in HRIS (Oracle) testing and bug reporting.
  • Actively seek out opportunities for process and service delivery improvements, challenge process design against industry standards & consider risk parameters, engaging the HR Operations Manager in any suggestions and changes to be made.
  • Provide references on behalf of current employees for tenancy/mortgage applications.
  • Support with annual processes such as exam awards, promotions and salary review.
  • Manage/support HR projects within the wider team and attend Working Group meetings and support related activities.

Qualifications

  • 2+ years experience working within an HR function.
  • CIPD qualification or willingness to work towards
  • Proficient use of the Microsoft Office suite including Word and Excel.
  • High attention to detail, good organisational skills and ability to prioritise
  • Confidence in creating, challenging constructively and developing employee documentation.
  • Ability to handle a variety of tasks.
  • A team player and positive “can-do” attitude.
  • An understanding of discreet professionalism
