The Role

The role of the Commercial Administrator is to support the Commercial Team, assisting with the management of commercial activities at the business unit level throughout both pre- and post-contract stages. Working collaboratively with the team to achieve the Company’s ‘Three Pillar Objectives’.

Key Responsibilities

  • Provide timely and accurate information for internal client reports, as requested by commercial personnel.
  • Working with both the commercial and finance team, monitoring and updating commercial schedules to reflect interim cash positions.
  • Managing project commercial documentation using Barhale’s Microsoft SharePoint web-based filing system, ensuring records are accurately collated, categorised, registered and securely stored.
  • Ensuring that all commercial documents received or sent by the project teams are logged according to the agreed document management processes.
  • Collation and distribution of supply chain data, supporting the department's KPIs; including but not limited to supplier performance reviews and 360 feedback.
  • Attend relevant commercial meetings and contribute where necessary.
  • Collect and update the electronic version of any monthly progress meetings.
  • Take notes at meetings for the commercial team as and when requested and distribute accordingly.
  • Assisting with external commercial audits.
  • Ensure the commercial processes and procedures are adhered to.
  • Manage email correspondence from both internal and external stakeholders.
  • Handle incoming phone calls, responding to or redirecting queries to relevant team members as appropriate.
  • Perform general administrative tasks as required to support the Commercial Team.

About you

Essential:

  • Proficient in using the Microsoft Office package suite to include SharePoint.
  • Good written and oral communication skills.
  • General education to GCSE grade A-C or above, or equivalent.
  • Strong numerical and analytical skills.
  • Great attention to detail with excellent organisation skills.
  • Ability to closely follow and enforce procedures.
  • Experience in high-volume administrative duties.
  • Ability to work to specific deadlines.
  • A proven understanding of the importance of accurate data entry.
  • Proactive with the ability to work alone or as part of the overall team.

Desirable:

  • Previous experience in the construction industry and commercial environment.
