To ensure the efficient running of our major locations through maintaining clear and functional workspaces and providing prompt administrative support. Primarily the role will be responsible for our Trowbridge and Altrincham locations - the Office Manager can be based in either location. Other locations have an on-site manager whom you may be required to support on an ad hoc basis.

This job description is intended to be indicative. It sets out the most routine elements of the role and in addition requires someone willing and able to turn their mind to a wide variety of tasks to support the effective operation of the business.

Job role and responsibilities

  • Identify needs, be point of contact for and manage consumables, non-IT equipment, furniture and general management of common areas.
  • Source consumables (stationary, packaging, hygiene, cleaning and kitchen items) sustainably and cost effectively.
  • Organise and own ad hoc events both in the office and externally as required.
  • Book travel – including visas where required – and accommodation for Directors and for other colleagues who would otherwise be out of pocket on request.
  • Prepare on-site workspaces for new colleagues including working with IT to ensure equipment is ready for use, appropriate furniture is in place, and any other needs are met (e.g. access fobs).
  • Point of contact for the ordering and retrieving fuel cards for fleet vehicles.
  • Creation, coordination and/or distribution of various business documents as required.
  • Supporting the Group Safety & Facilities Manager as required and on request:
  • Coordinate and be point of contact for general building facilities.
  • Organise and/or oversee third-party contractors and services for maintenance and repairs to the building, equipment and surrounding landscapes.
  • Coordinate training for First Aid and Fire Marshall volunteers.
  • Run fire evacuation drills and keep adequate records.
  • Ad hoc and on request, support with administration, coordination, research and documentation pertaining to property i.e. lease renewals, new property searches, property exit processes.

Practical details

This role is a permanent 32-40 hours per week, spread over 4 to 5 days, Monday to Friday. Occasional hybrid working possible, though primarily this is an on-site role. Occasional travel may be required with business miles reimbursed at the prevailing rate. Very occasional evening, weekend or bank holiday working may be required for special events.
