Are you an experienced and proactive administrator with a passion for supporting medical teams in a dynamic NHS environment? Kingston and Richmond Foundation Trust is seeking a Medical Staffing Coordinator to join our Medicine department and play a vital role in ensuring the smooth operation of junior doctor rotas and staffing cover.

About the Role

As a Medical Staffing Coordinator, you will be the first point of contact for all junior doctor rota issues within the Medicine department. You will manage and maintain rotas, coordinate leave and sickness cover, liaise with internal and external stakeholders, and ensure continuity of service through effective planning and communication.

Key Responsibilities

  • Maintain and update junior doctor rotas, ensuring adequate cover for clinics, inpatients, and on-call shifts.
  • Coordinate short- and long-term staffing solutions, including booking locums and managing leave.
  • Liaise with consultants, junior doctors, HR, Bank Partners, and the E-Rostering Support Team.
  • Ensure accurate and timely data entry in HealthRoster and Excel spreadsheets.
  • Provide excellent customer service via phone and email, acting as the first point of contact for rota-related queries.
  • Support recruitment, induction, and training coordination for medical staff.

Essential Criteria

  • Minimum 2 years’ experience working in the NHS, ideally in a medical staffing or administrative role.
  • Proficiency in HealthRoster and strong working knowledge of Microsoft Excel.
  • Demonstrated experience in customer service and telephone support.
  • Excellent organisational, communication, and interpersonal skills.
  • Ability to work independently, manage competing priorities, and maintain confidentiality.
  • At least 6 months NHS experience in the last 3 years.

Desirable

  • NVQ Level 3 in Business Administration or equivalent.
  • Understanding of medical staffing requirements and hospital operations.
