The Property Department plays a central role in maintaining and enhancing the Bank's built environment. Through its Infrastructure Engineering team, the department ensures that all Bank‐occupied buildings and engineering systems are safe, resilient and able to support the organisation's critical operations. The team delivers high‐quality engineering services for colleagues across the Bank and provides reliable support around the clock. The Department manages a broad portfolio of essential services, including capital investment programmes, business continuity support, strategic health and safety management, internal and external events, general facilities services (such as the helpdesk, switchboard and reception), catering, cleaning, post services and travel. Across all activity, we strive to ensure value for money and effective stewardship of the Bank's estate.
Our estate comprises three key properties: the Grade I‐listed Head Office at Threadneedle Street, 20 Moorgate in the City of London, and the Debden site in Essex, home to the Bank's printworks. These buildings host a diverse set of mission‐critical functions and engineering systems that underpin the Bank's day‐to‐day operations.
We are looking for an organised and proactive Engineering Team Administrator to support our Infrastructure Management team and Property Shift Technicians across the Bank's estate. This is a key role ensuring smooth day‐to‐day operations, accurate reporting, and effective coordination across a wide variety of engineering and facilities activities. You will work closely with colleagues, contractors and suppliers, helping to keep our buildings safe, compliant and running reliably. Responsibilities:
- Managing purchasing and invoicing processes.
- Handling reactive Help Desk tasks and ensuring timely closure.
- Collating and presenting performance data, including KPI/NPS/SLA reporting.
- Preparing agendas, taking meeting notes and managing scheduling.
- Producing monthly budget updates and maintaining financial records.
- Tracking third‐party provider schedules and supporting PPM activity.
- Maintaining business continuity information for staff and contractors.
- Supporting contract management and compliance activities.
- Issuing and closing tasks within the IWMS maintenance system.
- Processing security vetting and maintaining approved‐person records.
- Coordinating training requirements and schedules.
- Tracking health & safety risks and supporting mitigation actions.
- Updating statutory property logbooks and safety induction records.
- Managing annual planning information, including the Property Impact Schedule.
- Supporting recruitment processes for the Infrastructure team.
- Maintaining leave, sickness and attendance records.
- Processing team expenses.
- Maintaining accurate engineering documentation, O&M manuals and certification databases.
Role Requirements:
Minimum Criteria:
- Achieved City & Guilds Level 2 (or equivalent) in Business & Administration.
- Demonstrable experience using IWMS to manage planned and reactive maintenance tasks, including use of handheld HMI devices.
- Previous administrative experience in an engineering, facilities, or technical environment.
- Proven proficiency in Microsoft Office (e.g., Word, Excel, PowerPoint).
- Hold an IOSH Working Safely / Operating Safely qualification.

- Demonstrated ability to communicate clearly and professionally in both written and verbal formats.
- Evidence of making sound judgments by evaluating information against set procedures and contributing to improvements in processes or ways of working.
- Experience in receiving, sharing, and reporting information accurately and in a timely manner to support team operations.
- Proven track record of working collaboratively to achieve shared outcomes and draw on team knowledge.

- Demonstrable ability to prioritise tasks, manage deadlines, and organise workload effectively.

Salary and Benefits Information:
This position offers an annual salary of circa £29,650 - £32,220 (depending on skills and experience). We encourage flexible working, part time working and job share arrangements. Part time salary and benefits will be on a pro‐rated basis as appropriate. In addition, we offer a comprehensive benefits package including: a non‐contributory pension, discretionary performance award, benefits allowance, 26 days' annual leave with option to buy additional days, private medical insurance and income protection.
