This is an entry-level development role suitable for a school or university leaver seeking to build experience across facilities management, health and safety, business continuity, physical security and information technology.Working under the guidance of the Facilities Manager, the Facilities & Technology Assistant will assist with office maintenance, contractor management, health and safety activities, business continuity administration, physical security processes, office services and workplace support. The role will also provide first and second-line assistance with user technology, meeting room systems, telephony, Microsoft 365 services and IT asset management.YOUR CHALLENGEFacilities, Health & Safety and Business ContinuitySupport the Facilities Manager in maintaining a safe, secure and well-presented office environmentAssist with regular office inspections and the identification and escalation of health and safety issuesSupport the administration of Health & Safety records, policies and proceduresAssist with maintaining first aid supplies and related recordsSupport the coordination of fire drills, emergency exercises and health & safety training activitiesAssist with the administration and maintenance of Business Continuity and emergency response documentationSupport the monitoring and testing of business continuity arrangementsAssist with the management of onsite and offsite archives and recordsSupport the maintenance of office equipment, furniture and workplace facilitiesAssist with office moves, workspace changes and meeting room preparationHelp maintain the Office Issues and Feedback tracker and assist in coordinating resolutionsAssist with the ordering and management of stationery and office suppliesSupport the servicing and administration of company vehicles and other office assetsAssist with incoming and outgoing post, courier services and document handlingSupport secure document disposal and physical data destruction processesHelp ensure policies, procedures and records remain accurate and up to datePhysical Security and Contractor ManagementSupport the Physical Security Officer responsibilities under the supervision of the Facilities ManagerAssist with visitor management and access card administrationHelp monitor contractor access and compliance with office proceduresAssist with physical security inspections and reportingSupport the maintenance of building access records and key security controlsLiaise with contractors, suppliers and service providers as directedAssist in obtaining quotations, coordinating service visits and monitoring contractor performanceInformation Technology SupportProvide first-line technical support to users for common IT issues and service requestsEscalate complex issues to the Facilities Manager, Local IT, Group IT or third-party vendors as appropriateAssist with the setup, deployment and maintenance of desktops, laptops, mobile devices and peripheralsSupport onboarding and offboarding activities, including equipment preparation and collectionAssist with Microsoft 365 applications including Outlook and Office applicationsHelp administer user accounts, permissions and access requests under supervisionSupport meeting rooms, video conferencing facilities and collaboration technologiesAssist with local telephony and mobile communications servicesSupport local networking infrastructure including Wi-Fi connectivity and endpoint troubleshootingAssist with maintaining IT asset inventories and equipment recordsHelp coordinate equipment procurement, deployment and disposal processesAssist with technology upgrades, office moves and infrastructure improvement projectsSupport information security controls and user adherence to security policiesAssist with business continuity and disaster recovery activities relating to technology servicesMaintain accurate technical documentation and proceduresGeneral Administration and Service SupportProvide professional and responsive support to colleagues across the officeAssist
