This is a varied and dynamic role with wide ranging responsibilities. The ideal candidate will be highly organised, self-motivated, approachable and helpful. Able to quickly establish relationships with others, be calm and conduct themselves professionally at all times. They will work using their initiative and apply a 'hands on' approach to tasks. A team worker who will bring enthusiasm, ambition and a collaborative mindset to the role. You will be directly reporting to the Directors.

- Someone who has at least 5 years' experience in a similar role, this will be your second or third position as a Studio Manager, Personal Assistant or similar office administrative role
- Able to maintain the highest level of confidentiality, diplomacy, and professionalism
- Confident and able to represent the business to a high standard
- Fluent in written and spoken English
- Interested in design and the creative industries
You will be responsible for:
- Office Management
- Managing all IT, software and telecoms across business and working closely with our external IT consultant
- Managing all elements of the building maintenance, including the utilities, cleaning, insurance and security
- Being the main key holder listed for studio, managing all other key holders
- Supporting the team with general studio administration e.g. post and deliveries, stationary, keeping the studio clean and tidy
- Keeping the team accountable in regards to library, samples and sample movement
- The general day to day management of the studio; making sure we have fruit, flowers, kitchen basics and ensuring it always looks presentable
- Meeting and greeting all visitors, serving refreshments or lunch
- Contribute to Monday team meeting, ensuring everyone is briefed on key events that week
- Organising all company travel
- Answering the studio phone
- Supporting the Operations Manager with organising team socials e.g., last Thursday of month team presentations and Christmas party
- Organise CPDs and supplier visits
- Managing office costs effectively
- Managing the company database of suppliers with the designers
- Supporting the Senior Management team in promoting a positive and supportive work environment and company
- Ensuring the company continues to be environmentally conscious across all aspects of the business and be proactive in seeking new ways in doing so
- Managing the company's Health & Safety policy and fire risk assessment, ensuring these are reviewed and acted upon
- HR
- Providing advice to employees on company benefits and entitlements, including the company pension scheme and health insurance
- Supporting the Operations Manager with the Company Handbook, updating all policies and procedures as and when necessary
- Managing the on-boarding process for all new employees and consultants, administer all documentation for new joiners and current employees
- Managing the company's health insurance policy
- Coordinate the mid-year/bi-annual employee review meetings
- Supporting the Directors and Operations Manager on upkeep/maintenance of our HR system
- Overseeing Interns with the support of Senior Management
- Hiring Interns
- Executive Assistant to Directors
- Manage Directors' calendar and diary
- Managing and preparing complex travel itineraries, e.g., Milan Saloni
- Assisting in any organising/admin tasks associated with marketing
- Conducting research
- Ad hoc tasks
