ABOUT THE ROLE
As an integral part of our Supply Chain team, the Ecommerce Operations Coordinator plays a vital role in ensuring the despatch process for eCommerce orders is smooth, ensuring accurate and timely deliveries to customers, and providing excellent customer service throughout the order fulfilment process.
RESPONSIBILITIES
- Work closely with our third-party warehouse to ensure seamless processing and delivery of orders, maintaining the high standards of our packing specifications.
- Assist with the dispatch of eCommerce flower orders by printing DPD labels and gift messages for the dispatch team at the Farm; provide hands-on support during peak periods such as Valentine's Day and Mother's Day.
- Oversee fulfilment of certain Bamford eCommerce orders from stores when stock is unavailable at the warehouse, and track these fulfilments accurately.
- Ensure eCommerce packing specifications are kept up to date and communicated to all relevant teams.
- Place replenishment picks and stock transfers as needed, ensuring they are accepted in a timely manner to prevent fulfilment delays.
- Place packaging picks for the eCommerce team to ensure all required components are available for dispatch, flagging any shortages or issues to the Supply Team or management.
- Pick daily fresh 'shorts' from the Farmshop to send to CHT for same-day dispatch and arrange stock transfers to minimise customer shortages.
- Collaborate with the buying team to keep the hamper bundle tool updated to support accurate order fulfilment.
- Ensure accurate processing of system stock movements and adjustments to maximise fulfilment and minimise waste.
- Monitor and action daily email reports and alerts to maintain operational flow.
- Keep the auto-replenishment tool updated for eCommerce to ensure optimal stock levels—balancing fulfilment needs while avoiding overstocking and potential product expiry.
- Maintain a good understanding of tracking eCommerce and corporate orders via the courier portal; ensure safe delivery, build relationships with account managers, raise claims for missing or damaged parcels, and arrange collections when required.
- Arrange payment of weekly DPD invoices with appropriate management sign-off.
- Oversee eCommerce resends to ensure timely dispatch and confirm the dispatch team has the necessary stock.
- Monitor and manage eCommerce returns, ensuring accurate and efficient processing.
- Manage the ad-hoc requests tool and handle non-stock dispatch requests such as marketing and photoshoot samples.
- Understand daily fresh eCommerce ordering processes to provide coverage in the absence of the Assistant Manager.
- Assist with eCommerce stocktakes by preparing in advance—closing picks, transfers, and open POs—to allow for sales continuation and accurate stock counting.
- Liaise with the third-party warehouse to ensure accurate stock levels (physical vs. system), monitor inventory movements, and request updates as needed.
