BAM Site Solutions are looking for a Service Network Administrator to be based in Kilsyth.

The Service Network Administrator is responsible for providing administrative support to the Service Network function, ensuring service records, customer communications and operational information are maintained accurately and efficiently.

The role supports the Service Network Coordinator and field service teams through the administration of service activities, documentation, compliance records and customer updates, contributing to the smooth operation of the mobile service network.

Responsibilities

  • Process service requests, work orders, invoices and service documentation using company systems.
  • Accurately input and manage orders using the Rental Results system.
  • Create and maintain customer records, asset information and Share Point documentation.
  • Raise purchase orders, sales orders and process damage reports and timesheets.
  • Perform general administrative duties, including data entry, document management and record keeping.
  • Provide day‑to‑day administrative support to the Service Network and Hire Operations teams.
  • Respond to customer enquiries and communicate service updates and appointment details.
  • Liaise with suppliers, subcontractors and other depots to resolve queries and coordinate service activities.
  • Support the coordination of engineers, subcontractors and suppliers, escalating issues where appropriate.
  • Maintain training, competency and compliance records, supporting audits and statutory inspections.
  • Produce service reports, maintain KPI data and assist with reporting and analysis.
  • Support diary management, scheduling and administration during periods of high service demand.
  • Contribute to continuous improvement initiatives and ensure service records and operational data remain accurate and up to date.
  • Deliver a high standard of customer service while supporting the efficient operation of the Service Network function.

Qualifications

  • Strong communicator, capable of liaising with internal teams, depots and external suppliers to ensure smooth operational processes.
  • Team‑player mindset, with the ability to work independently and prioritise workload, is essential.
  • Strong IT skills, with a good working knowledge of Microsoft Office, particularly Excel and Word, and experience or understanding of a Purchase Ledger function.
  • High level of accuracy and attention to detail, particularly in data entry and order processing.
  • Effective communication skills, both written and verbal, with the ability to build relationships with suppliers and internal teams.
  • Ability to manage and prioritise workload in a busy operational environment, including experience working in an administrative or business support role (preferably within hire, construction or logistics sectors).
  • Familiarity with systems such as Rental Results and Share Point (desirable).
  • Ability to work collaboratively across multiple depots and teams.
  • Problem‑solving approach to handling order queries and discrepancies.
