BAM UK & Ireland are seeking a highly organised and proactive Business Support/Personal Assistant to join our collaborative team. With a strong pipeline of projects and continued business growth, this is an exciting opportunity to become part of a dynamic organisation and play a key role in supporting operational success.

Based from our head office, you'll work closely with senior leaders and project teams, providing essential administrative, organisational and coordination support across a range of business activities. You'll be at the centre of a fast-paced environment, helping to ensure the smooth running of day-to-day operations while contributing to the success of high-profile projects.

Your team BAM operates a flexible working policy. This position will be full-time based out of our Kilsyth or Inverness office.

Key Tasks and Responsibilities:
  • Proactively manage a complex/busy diary with forward thinking ideas to maximise and prioritise the Sector Pre-Construction Lead's time.
  • Manage the inbox of the Sector Pre-Construction Lead, ensuring all emails are properly and efficiently dealt with, keeping track of issues that are pending, and follow up relevant responses.
  • As first point of contact, it is key you will be confident with building and maintaining positive working relationships with a wide group of people and teams internally (e.g. pre-construction, commercial, project delivery & corporate) as well as with peers externally.
  • Prepare meeting materials: agendas, minutes, and presentations.
  • Track and manage dashboards, monthly reports etc.
  • Support both internal and external meetings as required by taking minutes, as well as recording, and following up on actions.
  • Plan and book travel with the best use of time.
  • Take ownership of planning, organising, and managing events such as away days, workshops, and conferences - both internally and with external business partners.
  • Maintain confidentiality and a high level of discretion at all times.
  • Work with other Business Supports in the region across all platforms.
  • Perform any other Business Support related duties or projects as requested.

  • Previous Business Support experience working at similar level.
  • Exceptional multi-tasking and prioritising abilities to meet deadlines.
  • Confident manner, and great communication skills.
  • Excellent attention to detail, and extremely organised.
  • Excellent knowledge of the Microsoft suite.
  • Ability to adapt quickly, use initiative and have the confidence to work independently.
