We are currently seeking a person that is enthusiastic, has a can-do attitude, is confident with a mature outlook and is equally happy to work independently as well as part of our hardworking, and friendly Clinical Admin team.
This role is very diverse involving administrative support for clinical staff and the management of patient enquiries both over the telephone, via e-mail and occasionally face to face. This role requires someone who can maintain composure during busy periods and able to work independently as well as part of a small team. The job holder will need to possess excellent IT skills, be confident to multi-task and able to work flexibly when the role requires.
Main duties of the job:- Work closely with the Doctors providing support with clinical referrals
- Provide a timely service to secondary care, private sector hospitals as well as other agencies with whom we come in to contact
- Answer all e-mails from patients, referring to others in the surgery as needed
- Signpost patients to other services, as necessary
- Deal with insurance requests
- Fulfil SARs requests from patients in a timely manner
- Work collaboratively with all practice staff
About us: Balmore Park Surgery is a 5 Partner Organisation, highly regarded and situated north of the River Thames in the popular town of Caversham, Reading with a patient list size of approximately 21,000 patients. Our team is comprised of GP Partners, Salaried GPs, Advanced Nurse Practitioners, Practice Nurses, HealthCare Assistants, Phlebotomists, Pharmacists as well as our non-clinical administrative colleagues and our invaluable Patient Services Team.
Job responsibilities:The following are the core responsibilities of an Administrator in our Clinical Admin Team. There may be, on occasion, a requirement to carry out other tasks. This will be dependent upon factors such as workload and staffing levels.
- Actioning all incoming email
- Processing referrals using the electronic referral system (ERS)
- Liaising with external agencies such as hospitals and community services, ensuring referrals are processed efficiently
- Managing all enquiries in an effective manner
- Assisting the Operations Manager in dealing with any complaints received
- Scanning of patient related documentation and attaching scanned documents to patients healthcare records
- Inputting data into the patients healthcare records as necessary
- Processing requests for information i.e., SAR, insurance/solicitors letters and DVLA forms
- Answering incoming phone calls, transferring calls or dealing with the callers request appropriately
- Producing letters, reports and associated documentation as required
- Managing all administrative queries as necessary
- Maintaining a clean, tidy, effective working area at all times
- Supporting all clinical staff with general administrative tasks as requested
- Working knowledge of EMIS
- Demonstrable Administrative experience
- Ability to work flexibly and to respond positively to change
- Excellent keyboard skills
- Ability to handle confidential information with discretion

- Previous experience working in a GP Practice is essential.
