Balmoral Comtec, a division of, Freudenberg Flow Technologies, provides surface and subsurface buoyancy, insulation and elastomer products and services to the global energy, defence, subsea communications and oceanographic industries.

We are recruiting for a, twelve month fixed-term, Administrator Assistant within Document Control in the Engineering Department in Aberdeen.

GENERAL RESPONSIBILITY AND FUNCTION

The successful candidate will be providing administrative and organisational support to ensure the efficient day-to-day operation of a business or department.

They will assist with coordinating office activities, maintaining records, and supporting management and teams with a variety of administrative tasks.

This will be a 12-month fixed term position to provide maternity leave cover.

The base location is Balmoral Park, Aberdeen. There may be a requirement from time to time to work at other locations, including Customer sites.

MAIN DUTIES

  • Provide day to day administrative support to the Document Control, Projects, and Engineering teams.
  • Produce Master Document Registers (Internal and Client).
  • Assist in the creation, revision and maintenance of project documentation as and when required.
  • Provide support to MRB Co-ordinator role as and when required.
  • Learn to use the document management software and systems for tracking document revisions and approvals.
  • Support the filing and archiving of documents in the Document management system.
  • Support with regular Project audits to ensure compliance with internal procedures.
  • Liaise with third party inspectors.
  • Provide lunch cover for Reception staff as and when required.
  • Printing, photocopying, and scanning.
  • Creating Reports & Data entry.
  • Manage meeting room bookings and prepare for meetings.

ROLE REQUIREMENTS

Qualifications

  • Minimum of ‘o’ grade/Standard grade/National 5 in English, maths and administration or business studies.
  • Preferred SQA Higher qualification or equivalent in administration or business studies.

Experience

  • Previous experience in an administrative based role.

Skills

  • (e. g. Core Competencies including people and IT skills)
  • Must be an organised individual.
  • Must have a strong attention to detail.
  • Must have well developed interpersonal and communications skills.
  • Must be computer literate, particularly in Microsoft Excel and Word.
  • Ability to work collaboratively in a team-oriented environment.
  • Must be willing to accept responsibility when delegated.
  • Must be highly motivated and keen to develop.
