As Property Manager you will:
- Direct contract and performance management of all soft services, including Housekeeping, Yard & Estate cleaning, Landscaping, Window cleaning, Pest control and Irrigation services.
- Recruitment, training, management and supervision of the in-house Concierge & Post Room team, ensuring the Ballymore brand values are at the centre of our service provision.
- Direct report for Leisure, including Health Club Manager.
- Lead manager for all amenity spaces across both sites.
- Management of Lease and estate rule breaches, including Infringement process.
- Support, manage, motivate, inspire, encourage and develop the site staff directly under your supervision and enable them to deliver confidently and consistently an ever-evolving residential lifestyle experience.
- Manage resident b.life tickets, registrations and queries directed to the PM team.
- Support the Property Director in any required property management related matters.
- Ensure that the team understands that the organisation’s aims and achievements are reflected in all its operations and activities – including relationships and risk management.
- Maintain overall organisation responsibility for performing all duties in compliance with related legal/statutory regulations, professional duties, responsibilities and obligations e.g. Best Practice Guidelines, ISO certification.
- Communicate and implement changes to improve overall site performance and ensure adherence.
- Ensure the provision of services and facilities is delivered throughout every aspect of the residential operation positioning Ballymore as the industry market leader, with a strong emphasis on the residents’ service experience, planned preventative maintenance, security and safety and the property asset management.
- Ensure compliance with all relevant laws, legislation and obligations applicable to our sector. To have a thorough understanding of the Landlord & Tenant Act 1985 legislation, health & safety and employment legislation, as well as awareness of obligations covered under the leases and management agreements.
- Ensure all Estate and property inspections, ensuring weekly block and estate inspections are completed, correctly logged and that all actions are followed/actioned.
- Support the Facilities Management team to ensure compliance with the Ballymore Fire, Health and Safety and Life Safety Systems Policies within the portfolio.
- Support in answering all service charge and lease related queries, resolving any disputes, and liaising with central accounts and credit control teams where necessary.
- Deliver effective communication with residents and stakeholders to ensure a best in class service. This includes the on-site management of the residential portal and other sources of communication.
- Manage all stage one site specific customer complaints.
- At times deputise or provide management support to the PD, when creating SOPs, SLA, KPIs specific for the needs of the development.
- Landlord Liabilities - Maintaining and updating the schedule (to be submitted & reviewed monthly).
- Support the delivery of both small and large projects, including Section 20 applicable works.
What you’ll need to be successful
- 3 years Property Management Experience.
- Knowledge of the Landlord and Tenant Act 1985.
- Good understanding of Leases / Section 20 process / Section 20b and Service Charge Accounts.
- ATPI member accreditation preferred or Industry relevant qualification.
- Strong track record of working collaboratively, diplomatically and effectively with a wide range of people.
- Good leadership skills that have been developed in a management environment.
- Knowledge and experience of Soft services, Landscaping, Housekeeping and leisure & fitness operations.
- Good knowledge of Health & Safety Management in Leisure and mixed-use facilities.
- Experience of leading both in house and externally contracted services in a complex multi-site environment.
