Duties include
- Executive Support
- Provide comprehensive executive support to board-level executives within BAML.
- Manage complex and demanding diaries, coordinating meetings, appointments, and business commitments.
- Act as the primary gatekeeper for senior executives, managing requests and ensuring effective prioritisation of competing demands.
- Screen and manage incoming communications, correspondence, and meeting requests.
- Prepare agendas, presentations, reports, briefing papers, and meeting packs.
- Attend meetings where required, producing accurate minutes and maintaining action trackers.
- Handle highly confidential and commercially sensitive information with absolute discretion.
- Diary & Stakeholder Management
- Build and maintain strong relationships with internal and external stakeholders at all levels.
- Coordinate meetings with key clients and business partners.
- Ensure executives are fully prepared for meetings by providing relevant information, updates, and documentation.
- Respond proactively to changing priorities and urgent business requirements.
- Team Leadership
- Provide day-to-day management, guidance, and development support to a Personal Assistant.
- Project & Business Support
- Support the coordination and delivery of strategic projects and business initiatives.
- Monitor actions arising from leadership meetings and ensure timely completion.
- Assist with the preparation of board reports, management information, and business communications.
- Contribute to the planning and execution of departmental and business objectives.
Essential Skills & Experience
- Significant experience supporting board-level or C-suite executives as a Senior Executive Assistant.
- Experience within property, real estate, asset management, or a related professional services environment would be highly advantageous.
- Exceptional diary management and executive gatekeeping skills.
- Proven ability to manage multiple priorities and deadlines in a fast-paced business setting.
- Extensive experience managing executive inboxes and drafting professional correspondence on behalf of senior leaders.
- Advanced Microsoft Office skills, including Outlook, Word, Excel, Power Point, and Teams.
- Outstanding organisational skills with exceptional attention to detail.
- A proactive, solutions-focused approach and the ability to anticipate executive needs.
