We are looking for an experienced and highly organised Personal Assistant to support one of our Senior Directors in Scotland. This fast‑paced and varied role involves managing complex diaries, coordinating meetings and travel, handling confidential communications and ensuring the smooth day‑to‑day running of leadership administration activities.
Responsibilities
- Provide day‑to‑day administrative and PA support to the Scotland Senior Leadership Team.
- Manage complex and constantly changing diaries to optimise leadership schedules.
- Coordinate meetings, conferences and leadership events, including preparation of agendas and action tracking.
- Screen and manage incoming emails, calls and correspondence on behalf of senior leaders.
- Organise UK and overseas travel and accommodation arrangements.
- Prepare reports, presentations and confidential documentation.
- Maintain accurate electronic and paper filing systems, including archiving.
- Process expenses and support wider administration activities.
- Support collaboration and coordination across the wider PA and administration network.
- Produce ad‑hoc reports, data analysis and confidential project support as required.
Qualifications
- Previous experience providing PA or EA support to senior leadership teams or directors.
- Strong organisational skills with the ability to manage multiple priorities effectively.
- Excellent communication and stakeholder management skills.
- High level of discretion and ability to handle confidential information sensitively.
- Strong attention to detail and ability to work under pressure.
- Proactive and self‑motivated with the ability to work independently.
- Advanced Microsoft Office skills including PowerPoint, Word, Excel and SharePoint.
